Who You Are and What You’ll Do:

The Part-Time Recruiting Coordinator and HR Operations Support role is responsible for providing reliable, focused, and timely support for recruiting coordination, candidate logistics, HR administrative processes, and HR-related purchase order management.

This role is designed to support the recruiting team by ensuring recruitment and HR operational activities are executed smoothly, consistently, and with strong attention to detail. The role requires excellent follow-through, clear communication, and the ability to manage defined responsibilities without expanding scope before prior approval. The ideal candidate is organized, responsive, detail-oriented, demonstrates good judgment and ensures assigned work is completed accurately, efficiently, timely and reliably.

 

Job Responsibilities:

 

Recruiting Coordination

The Recruiting Coordinator will serve as the primary coordination point for a proactive recruiting process and will be responsible for:

        Promptly scheduling candidate interviews with hiring managers, interview teams, and executives

        Coordinating onsite and virtual interview logistics

        Serving as the go-to contact for onsite and virtual candidates regarding interview timing, logistics, and general process questions

        Working with onsite administrative support for executive schedules when needed

        Ensuring interview schedules are timely, accurate, confirmed, and communicated clearly

        Tracking interview progress and identifying scheduling delays, gaps, or risks

        Gathering interview feedback from interviewers and following up when feedback is missing

        Providing regular updates to the recruiting team on candidate status, scheduling progress, feedback collection, and any process issues

 

Virtual Admin Team Coordination

This role will oversee the activities of the remote virtual administrative team as it relates to recruiting support, including:

        Assigning defined recruiting or HR administrative tasks to the virtual admin team.

        Monitoring completion of assigned tasks.

        Ensuring the virtual team’s work is accurate, timely, and aligned with HR expectations.

        Escalating performance, quality, timing, or communication issues to the recruiter or Head of HR.

        Using the virtual admin team for appropriate administrative support rather than taking on all work directly.

 

HR Administrative Support

The role will provide administrative support for HR-related needs, including:

        Managing HR purchase orders and related follow-up

        Tracking HR-related invoices, approvals, and vendor documentation as requested

        Supporting HR document organization and process tracking

        Assisting with HR communications, scheduling, logistics, and follow-up as directed

        Supporting other HR-related administrative tasks assigned by the Head of HR

 

Communication

This role requires proactive, concise, and transparent communication with the Head of HR and recruiting team. This role is expected to:

        Provide regular updates on recruiting coordination activity in an organized way, i.e. requisition report, and/or ATS reporting

        Flag delays, bottlenecks, incomplete feedback, scheduling conflicts, or candidate issues early

        Communicate clearly when capacity is limited, or able to take on new tasks

 

Minimum Qualifications:

        B.S. with three years’ HR, administrative or customer support experience, or equivalent experience

        Microsoft Outlook, Word and Excel whiz

        Experience with recruiting software required

Compensation

        The pay range for this position starts at $45.00/hour.

        For contract roles, the position will be sourced and managed by an outside agency. Offer amounts are determined by factors such as experience, qualifications, geographic location, and other job-related factors permitted by law.
