Position Description
As a Project Coordinator, you will take on expanded responsibility for project delivery, resource management, and financial oversight. You will work closely with Project Managers, design teams, and clients to ensure projects are executed efficiently, on schedule, and within budget. This role requires excellent decision-making, project management skills, and the ability to anticipate project needs, streamline workflows, and optimize resources.
Position Salary Range*
The expected salary range for this position is $52,000 to $71,000 annually.
Required Qualifications**
- Associate’s degree or higher in a related business field
- 5+ years of experience in architecture, engineering, or construction (AEC) industry or a related field
- Intermediate proficiency with project management and AEC software: Deltek Vantagepoint, Procore, Adobe Suite, Microsoft Office Suite, Bluebeam, Outlook, Smartsheet
- Ability to manage budgets, financial tracking, and accounts receivable awareness
- Capable of forecasting workforce needs and making recommendations for resource allocation
- Solid understanding of scheduling, budgeting, accounting, and architecture, engineering, and/or construction administration
- Excellent collaboration, communication, and leadership skills

Position Responsibilities***
- Manage and maintain project files, directories, and archives, including contracts, invoicing, NBD/fees, as-built drawings, and O&M manuals
- Oversee QC and distribution of project deliverables such as submittals, RFIs, ASIs, CCDs, change orders, PRs, permits, bid documents, specifications, and reports
- Produce, edit, proofread, and distribute project documentation and job-specific reports, spreadsheets, and logs as requested by Project Managers (COs, CORs, RVIs, RFPs, change directives, field reports, meeting minutes, punch lists, and other project records)
- Track and maintain logs for submittals, RFIs, ASIs, CCDs, change orders, PRs, and A&E service modifications
- Enter and maintain project data in Vantagepoint, including budgets, phases, progress, and weekly accounting/PM updates
- progress and the closing-out date as the project concludes
- Coordinate requests for W-9s as requested by clients/consultants with accounting
- Order and maintain insurance certificates for new projects/contracts
- Assist with ARM efforts
- Coordinate billing and assist with accounts receivable to ensure compliance with client and internal deadlines
- Schedule and organize meetings, including virtual conferences, and manage invites and logistics
- Conduct web research to support project planning and execution
- Perform other duties as assigned

*Actual pay will be determined based on the candidate’s years of experience, licensure status, location, level of proficiency, and other job-related factors (as permitted by law). This position is also eligible for an annual performance bonus.
