Cronos Group is seeking an Executive Assistant to the General Counsel and Corporate Secretary and the Legal and Regulatory Affairs Department, the CFO and certain Finance personnel, and the SVP, Global Head of People. The ideal candidate can handle making good judgments and is independent thinker. Must be extremely resourceful, well organized, efficient, and have an adaptable and positive attitude.
 
This contract position is for a minimum of 12 months and sits remotely within the Toronto, Ontario area.
 
What you'll be doing:
  • Executive day-to-day support with 100% confidentiality
  • Managing the executives’ calendar, all travel and accommodations, electronic tracking, bookings, expenses and all other daily administrative tasks
  • Manage telephone, voice messages, emails, and incoming mail for the executives
  • Administrative functions such as reviewing and preparing invoices and expense reports for payment, filing, maintenance of department records and arranging conference calls
  • Light Personal Assistant work as needed

Provide support to the executives and their teams as required:

  • Meeting support: catering, location booking, attendee reminders, scheduling, materials, agendas and confirmations
  • Set up and maintain paper and electronic filing systems for records, correspondence, and other material
  • Managing travel bookings and expense reports
  • Perform clerical duties such as filing, typing, and copying documents organize files and maintain contact database
  • Construct expense and accrual reports on a monthly basis
  • Review departmental expense reports on a monthly basis
  • Assist with the implementation of procedures and protocols
  • Liaise with and manage  service providers and vendors as needed
  • Become familiar with and assist with the use of the Legal Department’s invoice management tool
  • Support various and miscellaneous departmental tasks and requests
You'll need to have:
  • 3+ years related work experience; prior legal support experience preferred
  • Demonstrated experience in administering day-to-day operations of the office including preparing correspondence, providing administrative support, processing travel expenses and sending out correspondence
  • Proficient in Microsoft applications, particularly advanced skills in both PowerPoint & Excel, as well as comfort using the internet as a research tool
  • Capable of working independently; displays good judgement and handles confidential information with discretion
  • Strong planning and organization skills to schedule meetings and maintain electronic calendars, ensuring logistics and appropriate arrangements are made
  • Excellent oral and written communication, interpersonal and client service skills
  • Solid decision making and problem-solving skills
  • Team player mentality, effective in interacting with all levels in the organization
