Job Overview

As an Accounts Payable Specialist, you will play a critical role in the financial operations of Coretelligent, ensuring the timely and accurate processing of payables and financial transactions across multiple companies. You will also support our procurement process and contribute to the overall efficiency of the finance team. This role will report to the Controller.

Key Responsibilities:

  • Review and process bills, credit transactions, and monthly employee expenses for multiple companies.
  • Manage payables aging and schedule timely bill payments to ensure vendors are paid on time.
  • Maintain vendor communication, respond to payment inquiries, and resolve invoice discrepancies.
  • Maintaining records: Keeping accurate records of all financial transactions, including invoices, purchase orders, and approvals 
  •  
  • Reconcile monthly credit card statements, maintain vendor files, and ensure proper documentation.
  • Process courier invoices and ensure billable charges are reimbursed by clients.
  • Coordinate and maintain state registrations for multiple entities.
  • Compile and submit year-end 1099 reporting and coordinate W-9 forms with vendors.
  • Distribute and track company credit cards and monitor usage.
  • Process equipment invoices against purchase orders and collaborate with procurement to resolve price and quantity discrepancies.
  • Reconcile open purchase orders monthly and issue client equipment credit documents as necessary.
  • Prepare and submit month-end reports, including Open Purchase Order, AR, and Prepaid Expense Analysis.

  • Assist with administrative tasks and coordinate ACH deposit information for various financial processes.

  • Providing supporting documentation: Providing documentation for audits 
  • Assisting with month-end closing: Helping with the month-end closing process 

 

Required Skills and Qualifications:

  • Bachelor’s degree in accounting, finance, or a related field (or equivalent experience).
  • 2-3+ years of experience in accounts payable or a similar finance role.
  • Proficiency in accounting software and ERP systems (e.g., NetSuite, QuickBooks).
  • Strong attention to detail and accuracy in data entry and financial reporting.
  • Excellent organizational and time-management skills.
  • Ability to work independently in a remote setting and collaborate with teams across different  locations.
  • Knowledge of general accounting concepts and applications

Salary Range for this position (depending upon experience): 

$60,000-$65,000

 

This range reflects the minimum and maximum targets for new hires across all US locations (with the exception of MA, NY, and CA). Within the range, individual pay is determined by job-related skills, experience, work location, and relevant education or training.
