The Program Specialist within the Employment Related Services program will play a pivotal role in providing administrative and clerical support to ensure the smooth operation and effectiveness of the program initiatives. The responsibilities will involve assisting in program coordination, maintaining records, facilitating communication, and supporting day-to-day operations. Ensure accuracy of payroll information for Work Adjustment Training members. Assist with training members on clerical/administrative skills. Ensure Vocational Rehabilitation billing is completed correctly and timely. Provide coverage in Copa Academy as assigned. Ensure incident and accident reports are completed and submitted in a timely manner. Assist with collecting and tracking data for outcomes reports. As assigned, assist with note approvals in the Electronic Health Record, providing coverage in Copa Academy and administering the Start Up Box program.
- Requires a HS Diploma/GED.
- Must have one-year experience in an administrative/clerical/accounting role.
- Experience working in behavioral health, rehabilitation, or employment services highly preferred.
- Must have a fingerprint clearance card issued by the AZ Department of Public Safety or be eligible to receive one within eight (8) weeks of hire.
- TB Test clearance required at the time of hire and annually.
- Must have reliable transportation, valid AZ Driver’s License with state minimum insurance coverage and ability to meet and maintain Copa Health’s acceptable driving requirements.
- Data enter member payroll information for the Work Adjustment Training programs onto applicable payroll spreadsheets, ensure accuracy and submit to the Payroll department, meeting agency deadlines.
- Provide clerical training to Work Adjustment Training members as assigned, documenting services provided in the EHR.
- Assist with the completion of Vocational Rehabilitation billing for both Work Adjustment Training and Supported Employment, meeting the requirements of Knowledge Services, the 3rd party billing provider.
- Provide coverage in Copa Academy when the Program Specialist is out of the office, assisting members who are completing their online courses, providing support and encouragement and documenting services provided in the EHR.
- Assist with processing incident and accident reports across all programs under the ERS-BH umbrella, ensuring they are completed accurately and submitted to QM in a timely manner.
- Assist with collecting/tracking data for monthly outcomes reports, as assigned.
- Assist with note approvals in the EHR, as assigned.
- Assist with the administrative portion of the Start Up Box program, processing request forms, determining eligibility and notifying applicable staff, as assigned.
- Provide assistance and coverage during staff shortages as needed.
- Attend meetings and actively participate in internal and external committees. Perform special projects and committee tasks when applicable.
- Ensure the maintenance of departmental operations to achieve compliance with contract requirements, accreditation, licensing and monitoring standards, agency procedures, Federal/State/Local regulations and all other licensing/regulatory agencies as directed.
- Adhere to current training requirements and applicable accreditation and licensing/regulatory standards and compliance with the Health Insurance Portability and Accountability Act (HIPAA) and Health Information Technology for Economic Clinical Health (HITECH ) requirements.
