Description

Summary

The Accounting Assistant is responsible for assisting in accounts receivable duties (invoicing and cash payment processing) and accounts payable duties (receiving/processing invoices and collections) and other accounts receivable/payable transactions and reports.

Essential Functions

  • Miscellaneous sales order billing/invoicing/direct shipments
  • Greeting guests/customers as they come into the office.
  • Incoming phone calls, direct to appropriate associate
  • Managing/ordering office supplies as needed
  • Manage daily purchase acknowledgements, reviewing for discrepancies in pricing, shipping, quantity, jobsite information, etc.
  • Resolves issues on the Accrued Payables Report
  • Daily scans of customer payments and submittals to corporate accounting
  • Overhead Invoice processing, (coding, and scanning to corporate accounting)
  • Assisting with timecard records editing
  • Monitor corporate credit card receipts and enters the credit card information to bank website with GL coding
  • Prepares, requests and distributes second tier lien waivers
  • Facilitates RGA’s/back charges/supplier returns
  • Maintaining and reconciling deposits daily, including cash drawer balancing
  • Research and maintain system accounting records (sales orders, PO report, job closeouts, etc.)
  • Assist in closeouts of the accounting periods
  • Assist Project Mangers with closeout documents
  • Other relative duties as assigned

Minimum Qualifications

  • Associate’s Degree, or an equivalent combination of education/experience
  • At least 1-3 years of experience in similar accounting position

Knowledge, Skills and Abilities

  • Strong PC and systems skills required
  • Proficient in Microsoft Office Suite, especially within Excel
  • High attention to detail, self-motivated, and ability to work independently and multitask
  • Excellent organizational skills
  • Thorough knowledge of general accounting including thorough skills knowledge plus the application of general accounting theory
  • Excellent verbal and written communication skills required

Work Environment  

This job operates primarily in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. May occasionally require business travel.
