ABOUT THE POSITION  

  

We're looking for a reservations coordinator to join the Events team at Concorde Entertainment Group on a full time, permanent basis. This person will be responsible for managing the reservation process for small groups for multiple venues and aiding in the administration of events at these locations. The successful applicant will be highly organized, detail oriented, responsive, and focused on providing a positive experience for guests.

WHAT YOU'LL DO  

  • Responsible for communication, booking and adjusting reservations for group sizes up to 25 people.
  • Ensure your response time is in a timely fashion (48 hours) to customers via email.
  • Handle all inquiry correspondence via email and phone within set standard response times
  • Inform the customer of all relevant information needed for their reservation (ex. menu selections, allergies, minors, special occasion, confirmation protocol, text line, cancellation, and late policy)
  • Correctly input all relevant reservation information into OpenTable and Tripleseat for each venue
  • Support Event Coordinators with pre-event operational planning, client management, and administrative clerical support (contracts, billing, reports, collateral printing etc.) managed through Tripleseat.
  • Execute the day-to-day departmental administrative duties, including but not limited to; tracking invoice payments, copying, mailing, gift card requests, thank you cards, etc.
  • Suggest alternative Concorde venues for reservations in the event of the venue being fully booked, assist the customer in making this reservation for them.
  • Follow the written email communication guidance given by the Event Manager to standardize customer communication across all Concorde venues.
  • Work closely with the venue management team on any upcoming closures, availability, and hours of operation.
  • Ensure that all reservations are given appropriate time to dine allowing the venue to flip tables in service.
  • Understand and operate OpenTable efficiently.
  • Work with Event Team manager on Private Dining Room bookings, menu selection, gratuity policy and additional requirements (AV, wine pairings, entertainment, etc.).
  • Respond to incoming guest list inquiries accordingly.
  • Work with Event Manager on cross-selling Concorde venues and availabilities.
  • Coordinate with Event Manager for VIP Clients reservations and requests.
  • Administrative duties assigned accordingly.

WHAT YOU HAVE  

  • 1-2 years' hospitality experience is considered a strong asset.
  • Administration experience is strongly preferred.
  • Customer service experience is strongly preferred.
  • A positive attitude and focus on customer satisfaction in a fast paced, seasonal environment is important.
  • Ability to communicate professionally and courteously with clients, team members, and vendors.
  • Ability to develop rapport quickly is important for success.
