Position Summary: 
We are looking for a highly skilled Executive Assistant to provide top-tier support to our Senior Vice President of Ecommerce and Chief Digital Technology Officer. This role is essential in ensuring the efficiency and effectiveness of the leadership team by managing various administrative functions and acting as a key liaison across departments. The ideal candidate will exhibit outstanding organizational skills, strategic thinking, and the ability to navigate complex environments.
Responsibilities: 
  • Comprehensive Administrative Support: 
    • Coordinate and manage executive calendars, ensuring time is allocated for meetings, strategic planning sessions, and personal commitments.
    • Provide seamless travel arrangements, including itinerary planning, accommodations, and expense reporting, while anticipating the needs of the executives during their travels.
    • Manage expense reports, invoicing, and budget tracking for the leaders.
    • Serve as the primary point of contact for the SVP and Chief Digital Technology Officer, managing both internal and external communications with professionalism.
  • Strategic Meeting Coordination: 
    • Organize and facilitate meetings, including preparing agendas, compiling relevant materials, and ensuring necessary technology is set up and functional.
    • Organize off-sites and corporate events as needed, ensuring all logistical details are handled smoothly.
    • Take detailed minutes during discussions and follow up on action items, ensuring accountability and timely completion of tasks.
  • Project Management and Coordination: 
    • Assist in the comprehensive planning, execution, and monitoring of key projects within the Ecommerce and Digital Technology departments.
    • Use project management tools to track project milestones, deadlines, and progress updates. Assist team members in aligning on project objectives and deliverables.
  • Office and Workflow Management: 
    • Maintain organized systems for tracking key documents, project statuses, and executive commitments. Implement efficient office procedures to enhance productivity.
    • Actively manage budget-related tasks, including monitoring expenses and assisting with financial reporting as needed.
Essential Qualifications:
  • Experience:
    • 3+ years of experience as an Executive Assistant, preferably supporting C-suite executives or senior leadership in a consumer goods company.
  • Skills and Competencies:
    • Exceptional Organizational and Time Management Skills: Ability to prioritize tasks and manage multiple deadlines in a fast-paced environment.
    • Excellent Communication Skills: Strong verbal and written communication abilities with an emphasis on clarity and professionalism.
    • Confidentiality and Discretion: Proven track record of handling sensitive information with discretion.
    • Tech-Savvy: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), calendar management tools, and expense reporting systems.
    • Problem-Solving Ability: Resourceful and proactive, with a strong ability to anticipate the President's needs and address challenges swiftly.
    • Relationship Management: Ability to build and maintain effective working relationships with internal teams and external partners.
  • Education:
    • Bachelor’s degree preferred but not required. Relevant experience may substitute for formal education.
Environmental Factors: 
  • Working conditions are normal for an office environment.
  • Must be able to sit for extended periods of time.
  • Must be able to use a computer keyboard and view a monitor for extended periods of time.
  • Must be able to work in office 3 days a week.
