Overview
The Office Administrator provides front desk, telephone, and administrative support to the Corporate - Support Office in Tampa, Florida. The Office Administrator duties combine receptionist duties with administrative responsibilities. The office administrator plays a crucial and pivotal role as it provides essential administrative support in the support office operations.
Essential Duties and Responsibilities
•Welcome and greet employees and visitors.
•Maintain the corporate office security by following safety protocols and controlling access through the front door.
•Answer, screen, and forward incoming telephone calls, as required. Listen to and act upon operator voice mail, and routes calls to appropriate person.
•Accept and journal receipt of packages and distribute faxes and packages to appropriate individuals.
•Schedule conference rooms in Outlook calendar.
•Maintain tidy reception area.
•Receive and forward daily mail.
•Assist travelling employees with travel accommodations, complete Credit Card Authorization forms.
•Manage inventory of supplies for the corporate office and order supplies.
•Ensure the corporate kitchen is organized and stocked.
•Manage birthday and anniversary lists of corporate employees. Order supplies for anniversary celebration.
•Update lists; office manager spreadsheet, office address list, cell phone list, extension list.
•Special projects as assigned.

Qualifications (Experience, Education, Licensure, Certification)
•High School Diploma or GED
•One to two years of clerical experience, including organization, coordination, and performance of duties at a responsible level.
•Experience with multi line phone system
•Intermediate skill level in Outlook, Word and Excel.
Working Conditions
The Office Administrator works in areas that are highly visible and designed and furnished to make a good impression. Most work stations are clean, well-lighted, and relatively quiet. Work is primarily sedentary in nature.
