Position Overview:
We are seeking a detail-oriented and proactive Program Administrator to join our team. The ideal candidate will play a key role in supporting program operations, ensuring efficient workflow, and managing administrative activities that contribute to the success of the program. In this role, you will work closely with project managers, stakeholders, and clients to ensure project milestones are achieved on time and within budget. Experience in defense contracting is highly desirable, as you will support programs that align with strict regulatory standards and compliance requirements.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to program managers, portfolio managers, and project teams. This includes scheduling meetings, preparing reports, maintaining spreadsheets, and maintaining accurate records.
- The program administrator’s daily responsibilities will include management of timesheets for ~100 people, acting as the centerpoint for personnel updates, promptly responding, checking for accuracy, and submitting travel requests, and communication with government points of contact as needed. 
-  Documentation and Reporting: Oversee the creation, maintenance, and storage of program documentation, ensuring all records are accurate and easily accessible.
- Budget Monitoring: Assist in tracking project budgets, ensuring expenditures align with program goals and constraints. Work with finance teams to facilitate accurate billing and invoicing.
- Compliance Management: Ensure all program activities comply with company policies and industry regulations. Track and maintain certifications, licenses, and security clearances as required by program contracts.
- Communication: Serve as a liaison between internal teams, clients, and vendors. Prepare and disseminate communication materials, updates, and program progress reports. Serve as the conduit for program personnel to support functions within the company.
- Data Analysis and Reporting: Monitor and report on program performance metrics, identifying areas of improvement and potential risks.
- Risk Management: Assist in identifying potential program risks and coordinate with relevant departments to implement mitigation strategies.
- Program Coordination: Support program scheduling, coordinate resources, and ensure all program activities align with established milestones and deadlines.
- File Management: Organize and maintain both digital and physical files, ensuring all program data is up-to-date and accessible for audits and reviews.
Required Qualifications:
- Experience: 2-4 years of experience in program administration, project coordination, or a related role.
- Attention to Detail: Demonstrated precision in managing data, documents, and communications.
- Communication Skills: Strong verbal and written communication abilities, with the ability to interact effectively with a diverse range of stakeholders.
- Organizational Skills: Exceptional ability to manage multiple tasks, deadlines, and priorities in a fast-paced environment.
- Software Proficiency: Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint), and preferred experience with enterprise administrative software (e.g., Slack, Zendesk, Unanet, Paylocity, Lattice).
Preferred Qualifications:
- Bachelor’s degree in Business Administration, Program Management, or a related field.
- Defense Contracting Experience: Prior experience working in defense contracting or related government environments is a plus. Familiarity with DoD requirements, government compliance standards, and defense contracting terminology is highly advantageous.
- Compliance Knowledge: Understanding of government regulations and industry compliance, such as ITAR, DFARS, and FAR.
