Your Impact
As a Proposal Specialist II, you will play a key role in helping CivicPlus win and retain business by developing clear, customized, and compelling proposals for prospective and current customers. You will lead and coordinate formal and informal proposal responses, partner across teams to gather and validate information, and help strengthen proposal processes, training, and documentation. This role also serves as a team resource and liaison across departments, helping ensure high-quality submissions that align with customer needs and CivicPlus standards.
What you’ll do
  • Create, coordinate, edit, and format customized proposal responses for RFPs, RFIs, RFQs, and informal proposals.
  • Analyze proposal requirements and determine what information is needed for accurate, timely, and tailored submissions.
  • Coordinate proposal production from start to finish for both formal and informal proposals.
  • Partner with sales, marketing, business development, IT, systems, and other internal teams to gather information, align messaging, and support proposal strategy.
  • Facilitate and participate in strategy meetings to determine positioning, messaging, and task assignments for assigned proposals.
  • Review, edit, and proofread proposals and related materials to ensure accuracy, clarity, consistency, and compliance with company guidelines.
  • Maintain proposal templates, databases, process documentation, and CRM records related to proposal activity.
  • Help improve team efficiency by supporting tools, processes, testing, and documentation updates.
  • Support onboarding and development of team members through training materials, mentorship, and participation in interviews and reviews.
  • Serve as a lead resource for the team when needed, including helping with assignments, difficult RFP reviews, and cross-functional coordination.
What we’re looking for
  • Bachelor’s degree preferred, or equivalent work experience.
  • Experience in a similar proposal, bid, or response-management role.
  • Strong written and verbal communication skills, with the ability to communicate confidently and accurately across levels of the organization.
  • Strong attention to detail and the ability to review and produce accurate, polished work under deadlines.
  • Ability to manage multiple detailed projects simultaneously and prioritize effectively in a team environment.
  • Experience working with tools such as Salesforce, Avnio, InDesign, Photoshop, Microsoft Office, and Acrobat Professional.
  • Ability to work independently, solve problems, and take initiative when new responsibilities or challenges arise.
  • Ability to collaborate effectively across business units and build strong working relationships with internal stakeholders.
  • A strong sense of ownership, sound judgment, and a continuous-improvement mindset.
Compensation and benefits
  • Estimated Salary Grade Range: $54,100 - $75,700
  • The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience and is based on a 40-hour work week.
