Position Overview:

Perform facility scheduling duties for sports facilities including diamonds, artificial turf and grass sports fields, cricket pitch, Budd Park indoor field house and meeting room and support inquires for park rentals and McLennan Park volleyball courts.  Perform administrative support functions for the Facility Scheduler – Sport Fields and the Sport Development Section.

 

Responsibilities:

 

Customer Service

  • Provide customer service to inquiries by phone and email ([email protected]) from the public and affiliated sports groups, for facility rentals of sports fields and amenities.
  • Provide support to sports facility users in the use of their Active Net online accounts.
  • Provide guidance to potential users on sports facility and parks locations, pricing and amenities to accommodate their needs/requests.
  • Respond to customer concerns related to sports facilities e.g. set up, damage, safety, washrooms, parking.

 

Facility Scheduling

  • Prepares rental permits in the recreation system software, ensuring permits are signed, insurance documentation has been provided and payment for rental has been received prior to first rental date.
  • Prepares amendments to rental permits as requested by customer and/or affiliated sport group (registrations changes, playoffs) and weather-related events.
  • Completes permits once rental season is completed.
  • Communicates to parks operations team, as necessary, any changes that may impact the operations or service require the customer.

 

Financial Responsibility

  • Using the recreation system software, perform financial transactions for payment, or reimbursement of facility rental agreements.
  • Reconciles daily cash receipts at the end of every shift. 
  • Assist in preparing and sending reminder notices for overdue accounts at the conclusion of a permit, or outdoor season.

 

Administration

  • Develop and type various correspondence (letters, memos, reports, contract, minutes, agendas).
  • Provide scheduling coverage in absence of Facility Scheduler (vacation, training, meetings).
  • Prepare statistical Information (e.g., fees & charges comparison, historical usage levels).
  • Update Sports Field and Parks Rental Handbook for next season and send to previous rental clients/groups.
  • Assist in maintaining content for related website pages.

 

Requirements:

  • Have a grade 12 diploma.
  • Minimum 6-12 months of related experience including on the job period of adjustment.
  • Be able to work flexible hours including daytime, evening, weekends.
  • General knowledge of office procedures and keyboarding, reading, writing, and arithmetic skills sufficient to balance petty cash, daily deposits, process payments, refunds, and issue receipts
  • Skills in the use of a personal computer with the ability to use software programs such as Microsoft Office, Outlook, recreation system software (e.g., Active Net).
  • Communication skills to obtain information as required and provide assistance and facility information to others, including the general public.
  • Problem solving skills to handle patrons’ inquiries, concerns, and complaints; address general facility issues on own or by contacting appropriate staff.
  • Ability to relate in a courteous and friendly manner within a diverse community.
  • Ability to organize and manage multiple tasks and deadlines in and independent working environment.
  • Knowledge or sport and/or sporting activities.
  • Ability to support and project values compatible with the organization and to participate as an effective team member.
  • Be reliable with a good attitude and employment record.
