Position Overview:

Oversees the Box Office and financial functions for The Aud, including ticketing for special events and paid parking areas, management of ticket service agreements, leading and teaching staff, and responsible for all financial activities related to the business operation.  Works with a wide variety of internal and external stakeholders to plan, implement, and continuously improve special events and the services delivered by The Aud. 

 

Responsibilities:

  • Directly supervises 1 full-time Financial Administrator and several part-time Box Office Attendants, with full responsibility for interviewing and selection, orientation and training, scheduling, payroll, guidance and direction, and performance management up to and including recommending termination. 
  • Establishes and maintains effective working relationships with promoters, tenants, user groups and clients.
  • Determines ticket pricing and seating manifest for special events, while communicating requirements with internal and external stakeholders (e.g., The Centre In The Square). 
  • Ensures events are correctly built into the ticketing system and platform (i.e., KW Tickets).
  • Communicates pertinent ticketing information with internal and external stakeholders.
  • Coordinates and reconciles merchandise sales.
  • Leads and develops suite lease and rental pricing.
  • Troubleshoots software and hardware problems with ticketing system and parking technology, working with vendors outside of the Corporation.
  • Implements systems and procedures for ticket security, cash handling, bank deposits, contract reconciliation, etc. to protect the Corporation’s interests.
  • Responds to queries and resolves complaints from clients and stakeholders.
  • Oversees Kitchener Rangers season as it relates to ticketing (season tickets, single games etc.). Leads ticketing and financial functions associated with the lease.
  • Develops and implements standard operating procedures related to Box Office, finance, and customer service (e.g., Checking daily deposits, ticket refunds, internal controls, etc.).
  • Reconciles and audits ticket revenues.  Evaluates and implements changes to the audit trail of ticket revenues and cash reconciliation, as per industry and/or legislation changes.
  • Reconciles accounts and leads financial settlements for all special events at The Aud.
  • Reconciles Box Office and souvenir sales with promoters in conjunction with contracts and show settlements (e.g., Night-of event).
  • Investigates financial errors, ensuring amounts are accurately reflected in the Corporation’s financial and budget system.
  • Supports the Manager in the preparation and administration of the annual budget, including monthly variance and improvement strategies; prepares related recommendations.
  • Assists with establishing the financial terms for event contacts/agreements.
  • Analyzes data and provides estimates and financial projections for bids and other event opportunities.
  • Maintains financial records and develops year-end financial reports to reconcile accounts and to support the development of new budgets.
  • The primary Box Office contact on site for ticketed events – evenings and weekends.
  • On a rotational basis, provides backup to the Manager of The Aud.
  • Acts as duty manager for special events on a rotational basis – evenings and weekends.
  • Time off will be approved at the discretion of the Corporation, being mindful of events.
  • Performs other related duties as assigned.

 

Requirements:

  • 3-year degree/diploma in a related field, such as business administration, finance, venue management, sports management, etc.
  • 4-7 years of related experience.
  • Experience managing Box Office and event ticket sales, including ticketing software, ticketing agreements, leading and teaching staff, etc.
  • Knowledge and experience with financial procedures, financial reporting, budgeting, GAAPs, sales analysis, show settlements, event production/promotion, etc.
  • Knowledge and experience with event and financial risk management related to revenue and expense-generating agreements, including administration and fulfilment.
  • Strong organization and time management skills to deal with multiple events, while ensuring financial and operational components occur efficiently and effectively.
  • Strong communication, human relation, creativity, and problem-solving skills.
  • Excellent ability to establish and fulfil customer needs and expectations; supervise, train, teach and motivate staff; participate as an effective team member.
  • Skill in the use of a personal computer with experience using software packages such as Microsoft Office as well as comprehensive financial and ticketing systems. 
  • Ability to develop strategies and sales plans for special event tickets.
  • Ability to identify opportunities for efficiency in standard operating procedures.
  • Supports and projects values compatible with the organization and participates as an effective team member.
  • Preference will be given to candidates with Box Office and financial management experience in a sports and entertainment facility.
  • Preference will be given to candidates with experience using the Paciolan ticketing system.
  • Testing for demonstrated Excel skills and financial reporting may be part of the recruitment process.
  • Must be willing to work flexible hours, including weekends, evenings and specified holidays in accordance with event schedule.
  • Must be reliable with a good attitude and employment record.
