Job Status:  Temporary Full-Time

Pay & Grade: $ 52,037 - $ 65,046 annually     Grade: 5

Hours of Work:35 Hours per week

Initial location: Kitchener City Hall

Posting period:March 11, 2025 – March 25, 2025 (at 6 p.m.)

 

Overview

 

This position organizes the planning and delivery of small events and festivals by working with staff and external event organizers; creates site plans, organizes event programming, determines technical support requirements, monitors budgets and ensures event requirements are fulfilled in accordance with regulations. The Event Organizer will establish and maintain relationships with community groups to identify potential events and opportunities for collaboration. This is a critical position in ensuring that events are successful and meet the needs of all stakeholders involved.

 

This position is temporary for approximately 15 months.

 

Responsibilities

 

  • Assist in planning and organizing events, including coordinating with vendors, and overseeing event logistics
  • Provide administrative support to Events Section, such as managing schedules, implementing artists’ contractual needs and preparing materials for events.
  • Communicate with attendees, vendors, and other stakeholders to ensure that events run smoothly, and all needs are met.
  • Assist with event budgets, including tracking expenses, deposit-systems and coordinating with Finance to ensure timely payments to vendors.
  • Conduct post-event evaluations to identify areas for improvement and implement changes to enhance future events.
  • Work with Events Staff to develop marketing and outreach strategies to promote events and increase attendance.
  • Assist with the event calendars, shared email accounts and other documentation related to event planning and execution.
  • Assist and maintain relationships with community groups, and other partners to identify potential event opportunities and strengthen partnerships.
  • Provide customer service to all stakeholders involved in events and ensure that their needs and expectations are met. 
  • Performs other related duties as assigned.

 

Requirements

 

  • 2-year diploma or 2 year specialized post-secondary program.
  • Must have a minimum of 1-year related experience including administrative experience in event planning and coordination.
  • Must be willing to work flexible hours including weekends, evenings and specified holidays in accordance with event schedule.
  • Highly organized and capable of planning and or implementing events details with a high degree of accuracy.
  • Proven ability to perform in a fast paced and deadline-oriented environment, working well under pressure with the skill and ability to make quick decisions.
  • Ability to develop and manage program budgets.
  • Possess effective trouble shooting skills and be able to identify potential risks before and during an event.
  • Demonstrated ability to participate as an effective team member and be willing to work collaboratively with others.
  • High level of initiative and strong ability to work independently.
  • Exceptional interpersonal skills to effectively work with businesses, volunteer groups, event committees and the media.
  • Excellent computer skills using MS Office; experience with ActiveNet and SAP is an asset.
  • Reliable with a good attitude and employment record.
