About the Team & Business Line:
 

You will become a part of an engaged and dynamic Administration team (team of 5) to support Vilnius office activities, its employees and clients and will have an opportunity for self-development in the organizational administration – see how large companies are operating from inside and what is it needed to keep it every day running. You will be responsible for various administrational tasks towards our employees, external suppliers and other stakeholders maintaining professional, positive and productive relationships as well as keeping a solid eye to the details. You will report to Facilities and Administration manager.
 

Your Role:

 

  • Act as one of the skeleton staff to support office activities and coordinate various deliveries to employees homes;
  • Be the one to select and suggest various branded materials, organize gifts, other giveaways, meaning your tight relationships with various suppliers;
  • Handle various documentation, invoices, track expenses, other;
  • Possibility to expand your practical experience in internal communication and join employee engagement committee responsible for various events, social activities and cultural matters
  • Greet guests/clients and ensure a positive experience;
  • Manage incoming phone calls, post, courier service and deliveries;
  • Provide all administrative support and recommendations with the arrangements of requests (ordering taxi, meals, accommodation, restaurant reservations, etc.);
  • Manage meetings calendar, arrange conference calls and facilities, assist with travel arrangements;
  • Order and maintain office supplies and equipment; report repairs and make sure they are fixed;
  • Assist with organizing in-house and external events or other miscellaneous projects as they come up.

  • Excellent communication and interpersonal skills as well as strong sense of responsibility and discretion
  • Have ability to multitask and work in a dynamic atmosphere;
  • Have a college or university degree;
  • Fluency in English and Lithuanian (both written and verbal) as well as IT literacy;
  • Experience in a similar position or client service environment would be an advantage.
