About the Team & Business Line:

Fund Administration is Citco’s core business, and our alternative asset and accounting service is one of the industry’s most respected. Our continuous investment in learning and technology solutions means our people are equipped to deliver a seamless client experience.

As a core member of our Fund Services team, you will be working with some of the industry’s most accomplished professionals to deliver award-winning services for complex fund structures that our clients can depend upon.

Your Role:

  • You will support office of 25 employees.
  • You will maintain the schedule and physical appearance of the office.
  • You will manage office billing collaborating with Finance Department.
  • You will maintain updated Floor Plan – Reconfigurations – Internal Moves.
  • You will be coordinating Fire Drills and practicing facility policy and procedures.
  • You will be coordinating Office Maintenance/Repairs/Electrician walkthroughs.
  • You will be ordering supplies and purchase office equipment.
  • You will actively participate in managing Social Committee events to help foster a relaxed, fun, and charitable culture.
  • You will establishing business relationships with outside vendors.
  • You will demonstrating flexibility at all times in using personal judgment and adaptability-approaching work related concerns.
  • You will maintain a positive outlook with employees and visitors.
  • You will ensure new employees are setup with building ID cards and work with HR to onboard/off-board employees.
  • You will partner with IT Service team to assist users if help is require.
  • You will report to Managing Director costs for maintenance issues and cost comparison for vendor usage.
  • You will head local Business Continuity team including updating procedures, participate in regional calls and ensure Hotline is updated in cases of inclement weather.
  • You will assist in coordination of office Wellness program including implementing new initiatives.
  • You will effectively collaborate with Admin group to ensure all aspects of office administration is handled, including providing backup support for reception.

About You:

  • You have 2 to 3 years of experience, preferably in comparable office size.
  • You have excellent written, verbal and inter-personal communication skills.
  • You have the ability to be flexible and multi-task and prioritize effectively with shifting priorities and timeframes.
  • You have proven judgement and decision making skills.
  • You have demonstrated ability to maintain Professional Standards.
  • You have a great sense of responsiveness to the needs of the Business.
  • You have the ability to work independently.
  • You bring a high level of energy, creativity and independent thinking.
  • You are a team player with the ability to gain the confidence and cooperation of peers.
  • You are proficient in Microsoft Office, use of inter- and intranet, teleconferencing, Web Ex technology, etc.
