Executive Administrative Assistant

The Executive Administrative Assistant will provide support to Executives to ensure effective management of operations.  By anticipating needs, the Executive Administrative Assistant will provide the highest level of executive support.

 The responsibilities of this position include:

  • Oversee the completion and submission of travel and expense reports in a timely fashion and serve as the department’s final reviewer of expenditures
  • Prioritize and handle internal and external correspondence
  • Evaluate and prioritize requested meetings and coordinate complex schedules to accommodate the needs of the Executives
  • Manage multifaceted department logistics and calendars for meetings and conferences, including travel and event management
  • Maintain accurate departmental records to ensure the integrity of the information
  • Research a variety of topics for the purpose of providing information and/or recommendations
  • Exercise independent judgment in bringing information and issues relating to the operations of the department to the attention of the Executives
  • Provide executive, administrative and analytical support to the Executives in an effort to ensure timely and effective communications between the Executives and stakeholders, both Internal & External

  • Frequently compose and finalize complex correspondence, reports and other-format documents, using experience and judgment to determine what should be included in each document
  • Provide support in short and long-range strategic planning initiatives for the Executives and his/her department
  • Exercise independent judgment in bringing information and issues relating to the operations of the department to the attention of the Executives
  • Create and maintain comprehensive filing system; manage accurate departmental records to ensure the integrity of the information
  • Frequently compose and finalize complex correspondence, reports and other-format documents, using experience and judgment to determine what should be included in each document
  • Represent the Executives in their absence for the purpose of addressing matters that require immediate attention
  • Carry out major assignments in conducting the operations of the business
  • Work on special projects as assigned and perform other duties as necessary

 The requirements of this position include:

  • Bachelor’s Degree required
  • Confidentiality is imperative
  • 5-7 years providing administrative and/or personal support at the executive level required
  • Strong experience within PC Microsoft Windows and MAC environments
  • Advanced proficiency and strong working knowledge required in Microsoft Office Word, Excel, PowerPoint, Outlook and Adobe Acrobat X
  • Ability to work independently and quickly
  • Must have good judgment and exercise the utmost discretion with confidential and sensitive information
  • Ability to prioritize work and provide a high level of customer service
  • Excellent written and verbal communication skills
