Role Overview
Chartis is seeking an experienced Payroll Manager to join our Finance team in Chicago. This role involves overseeing the day-to-day payroll functions, ensuring payroll policies and practices are compliant, efficient, and aligned with the needs of our fast-growing organization. The ideal candidate will be a Certified Payroll Professional (CPP) with 5-7 years of experience in payroll management, specializing in ADP Workforce Now, multi-state payroll tax compliance, and Workday integration. The ideal candidate will bring extensive expertise in multi-state payroll regulations, exceptional analytical and organizational skills, and a proven ability to lead payroll operations for multi-state organizations. Strong experience in automating payroll processes, managing payroll for diverse workforces, and ensuring compliance across multiple jurisdictions are essential for success in this role.
Responsibilities
l Oversee entire payroll process for 4 EINs, ensuring all employee payments are processed accurately and on time. This includes calculating wages, salaries, bonuses, deductions, and taxes for exempt and non-exempt employees on bi-weekly and semi-monthly pay cycles.
l Ensure compliance with federal, state, and local payroll laws and regulations. Stay abreast of changes to payroll laws and implement necessary changes to the payroll process.
l Manage payroll systems, ensuring they are functioning correctly and efficiently. Troubleshoot issues when they arise.
l Develops standard and custom reports for the purpose of payroll data analysis for various internal stakeholders.
l Conducts payroll data quality audits and investigates discrepancies with appropriate stakeholders.
l Manages the reconciliation process each pay period, quarterly and at year-end.
l Coordinate with internal and external auditors to provide necessary documentation and support during annual 401(k), Workers’ Compensation, and Payroll audits. Ensure that audit findings are addressed and corrected immediately.
l Lead, mentor, and develop the payroll associate, providing guidance and support to ensure high performance. Promote a collaborative and efficient work environment.
l Act as point of contact for payroll-related inquiries and issues from employees. Resolve payroll discrepancies and provide support to employees regarding their pay.
l Identify and implement process improvements to enhance payroll accuracy, efficiency, and compliance. Develop and maintain payroll policies and procedures.
l Collaborate with People Operations to ensure accurate and timely processing of employee benefits.
l Oversee the preparation and submission of payroll tax filings, including quarterly and annual reports. Ensure accurate withholding and reporting of taxes.
l Liaison between firm and vendors (ADP and Fidelity) to ensure system functionality and service levels meet the firm’s current and ongoing needs.
l Maintain employee confidence and protect payroll operations by keeping information confidential.
Qualifications and Desired Skills
l Minimum of 5-7 years of experience in payroll management
l Certified Payroll Professional (CPP)
l Strong knowledge of payroll laws, regulations, and best practices
l ADP Workforce Now Expertise, Workday Payroll implementation a plus
l Strong analytical and problem-solving abilities

Salary range: $97,750-$110,500, plus may be eligible for an annual discretionary bonus. The salary range for this role takes into account the wide range of factors that are considered in making compensation decisions including, but not limited to, skills, experience, training, licensure and certifications, practice area, and other business and organizational needs.
