Starts Coordinator

What You’ll Do:
The Starts Coordinator is responsible for the general administration and clerical support of the permit process within the Company. Under the supervision of the Permit Manager, this position will enhance effectiveness between the Engineers, Permit Runners, Cities, Counties, and other outside agencies.
Your Key Responsibilities Include:
- Maximize office productivity through proficient use of appropriate software applications and procedures.
- Collect option sheets and obtain approval on all start requests.
- Order and track all plot plans, foundation plans, etc.
- Fill out permit applications and submit permit submittal packages to jurisdictions, handling any questions or revisions as requested by jurisdictions.
- Drive to each community to ensure permits are posted appropriately, and drive to the city to obtain permits, weekly.
- Process permit checks and pick-up permits.
- Organize and document information, including building permits, water and sewer permits, sprinkler permits, etc.
- Build and assemble permit folders to include the site plan.
- Track BuildPro schedule with assigned vendors, sales brochure (signed by customer), material takeoff adjustment form, material takeoff (lumber, interior trim, window, brick, etc.), quality inspection forms, and customer walk forms.
- Track daily activities to ensure that the permit applications are accurate and complete.
- Coordinate delivery and pick up of permit applications, as needed.
- Provide various reports and requests to track and resolve permit backlogs or field needs.
- Complete inquiries in person or on the telephone with different jurisdictions and agencies.
- Maintains customer confidence and protects operations by keeping information confidential.
- Manage monthly permit goals to ensure yearly company goals are accomplished.
- Submit plot plans and other documents through HOAs or districts for necessary approvals.
- Scan and save all master plans once approved and picked up from jurisdictions.
- Process all tap fee checks, fill out necessary applications, and pay all tap fees.
- Calculate projected permit and tap fees for entitlement and purchasing departments and confirm fees in final budgets.
- Process permits for all sales trailers and model sales offices.
- Review all new option sheets to determine if plans/permits need to be revised after permits have already been issued.
- Create new community address lists and load lots/addresses into NewStar.
- Scan, save, and distribute all engineer letters.
- Update and distribute the Starts Report weekly.
- Perform other duties as needed or assigned.
What You Have:
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
- Creative problem-solving skills.
- Strong communication skills, both verbal and written.
- Ability to interact successfully with both internal and external customers at all levels.
- Ability to multi-task, prioritize, and be flexible with changing business needs in a team environment.
Your Education and Experience:
- GED is required, and a college degree is preferred.
- Two or more years of clerical and support experience.
- Previous experience working for a home builder or other construction-related field is a plus.
- Experience with permit processing is a plus but not a requirement.
