Job Purpose:

Facilities Assistant/Receptionist provides support to the company’s headquarters office with a variety of clerical activities and related tasks.  This employee will manage vendors and will schedule and oversee the itinerary for company visitors.  Other duties will include answering incoming calls, directing calls to appropriate associates, mail distribution, the flow of correspondence, requisition of supplies, and other duties as assigned.

 Duties and Responsibilities:

  • Proactively support Corporate Facilities Manager, schedules, and special projects as they arise in the workplace. 
  • Facilitate and help organize involvement of Monday workspace for nationwide office locations.
  • Greet and direct company visitors between the hours of 8:30 am to 5:00 pm central.
  • Serve as point-of-contact for company guests in days leading up to event or arrangement.
  • Answer telephones and direct callers to the appropriate associate/department.
  • Coordinate the pick-up and delivery of express services (FedEx, Shred-IT, etc.).
  • Receive, sort, and distributes incoming and outgoing USPS mail.
  • Schedule appointments, meetings and coordinate space and office organization, and assist with special projects.
  • Maintain supplies inventory.
  • Assist with other related clerical duties such as scanning, photocopying, faxing, filing, and collating.
  • Assist with employee engagement with Culture Club (this would include attending meetings as needed, promoting employee participation, running events, researching activities). 


  • College Graduate or equivalent work experience. 
  • Exceptional customer service skills and professional phone manners.
  • Ability to work well with others in a fast-paced environment, while maintaining the highest level of customer service, professional composure, and integrity.
  • Strong attention to detail.
  • Team player with good written and verbal communication skills.
  • Able to provide top-notch service to all clients and team members.
  • Ability to handle multiple tasks, take on new responsibilities and prioritize work in a deadline-intensive environment.
  • Strong interpersonal and teamwork skills and ability to influence through collaboration.
  • Self-motivated, high level of personal energy and commitment.
  • Problem-solving skills, as well as flexibility and adaptability, are of key importance.
  • Proficient in Microsoft Word, Excel, and Power-Point
