Reporting to the Registrar Office Administration Team Lead, the Registrar Office Administrator is responsible for providing support to a team of admissions representatives in the areas of registration, student records maintenance.
Job Profile
Specifically, the Registrar Office Administrator will be responsible for:
• Organizing and administering the records and registration functions of the Registrar’s Office
• Maintaining accurate and timely student information in the student database
• Follow up with previous student records information
• Acting in a manner that upholds the College standards
• Performing other job duties as assigned
Specific Responsibilities
The Registrar Office Administrator will be responsible for the following, as well as other related duties as assigned to support the business objectives and purpose of the College.
• Oversees the day-to-day admissions systems, processes, and procedures to ensure efficient, effective, and accurate practices and compliance with College policy.
• Responsible for data collection, reporting, and analytics related to enrolment and admissions.
• Oversees efficient and secure storage of student records
• Responsible for completeness of student records and maintaining low margins of error through effective ongoing training and support, as well as participating in regular review and/or internal/external audit.
• Initiates and manages the retention and disposition of student records and office administration files, in compliance with the College’s Records Retention and Disposal guidelines.
• Facilitates smooth operation of quarter registration process and systems
• Credit Transfer and Articulation
• Ensures data integrity and accuracy for all student information systems
• Provides long and short-term administrative planning analysis and develop, review, and monitor department goals and objectives.
Qualifications
To be successful in the Registrar Office Administrator position, an individual must be committed to developing, maintaining and demonstrating the following:
Education and Experience:
Degree or diploma from a recognized university or post-secondary institution
Minimum three years of administrative experience working in a large complex organization
Post-Secondary experience is an asset.
Competencies:
Experienced with managing multiple projects within a rapidly changing environment
Excellent interpersonal skills and the ability to effectively communicate and interact with all individuals
Excellent oral and written communication ability
Ability to act with tact, good judgment, and discretion; maintaining confidentiality of files, personal information, and other matters, as appropriate
Ability to complete work in a timely manner with accuracy and attention to detail to processes and documentation
Proven ethical and objective decision making and problem solving abilities
Ability to plan and adapt to change
