We are looking for a dedicated professional who can provide administrative support for three team executives including:
  • Manage calendars and schedule meetings (both virtual and in-person)
  • Ensure executives have all materials needed for meetings in advance
  • Coordinate all in-office meetings (audio/video, food, timing, greeting guests, etc.)
  • Make travel and hotel reservations and arrangements (domestic and international)
  • Coordinate executive communications, including taking calls, responding to emails, and interfacing with internal and external personnel
  • Manage contact information and ensure timely follow-up to all correspondence
  • Prepare and submit timely expense reports and ensure compliance with all company-wide data entry policies
  • Track and log time into database (NetSuite)
  • General administrative tasks as required, including copying, faxing, scanning, binding, errands, filing and any other general office tasks
  • Format, edit, and proofread internal and external documents as needed
  • Support business development efforts by maintaining contact information, drafting outreach and responses, and other tasks as needed
  • Help plan and execute social gatherings, team-building activities, and CSR events to strengthen employee connections and sense of belonging
  • Order and process expenses for employee and client gifts, event tickets, sponsorships, etc.
Qualifications include:
  • Bachelor’s degree
  • Exceptional multitasking abilities with strong attention to detail
  • Excellent written and oral communication skills
  • Proficiency in graphics and formatting experience
  • Advanced Proficiency with MS Word, PowerPoint, Excel and Outlook
  • Deadline-oriented
  • Professional, efficient, friendly phone manner and face-to-face interactions
  • Strong sense of teamwork and collaboration
  • Ability to self-direct, be proactive, and take initiative
  • Experience with NetSuite and/or Navan a plus
  • Previous administrative experience in office setting
 
 
Salary range: $55,000 - $75,000
