UNDERSTANDING THE ROLE
The Senior Director, Systems leads the region’s systems, reporting, and compliance functions, overseeing tools and processes that ensure operational accuracy and financial integrity. This role manages the implementation and optimization of key platforms (HubSpot, NetSuite, Navan, SharePoint, and others), advances process standardization and ensures data-driven decision-making across the region.
 
A critical near-term priority is supporting the successful rollout and adoption of HubSpot as CCS’s new CRM platform, building consistent processes for data integrity, lead tracking, and pipeline visibility. The Department Lead also partners closely with Corporate Finance and the Head of Operations to monitor revenue, expenses, and compliance, preparing the team for future transitions such as the migration of contract management to Corporate.

RESPONSIBILITIES
Department Leadership & Strategy
  • Serve as Department Manager (conducting 1:1s, approving PTO, coaching team members, and overseeing day-to-day workflow).
  • Create and execute annual strategic work plans for business systems, reporting, and compliance priorities.
  • Partner with the Head of Operations and Corporate teams to align systems processes, reporting standards, and compliance metrics.
  • Track and report on key operational data including sales, revenue, margin, and project performance.
  • Model a culture of precision, accountability, and continuous improvement.
Systems Oversight & Optimization
  • Oversee use and integration of regional systems (HubSpot, NetSuite, Navan, SharePoint, and The Source).
  • Lead the regional rollout and adoption of HubSpot, ensuring best practices for contact management, lead tracking, reporting, and data hygiene.
  • Collaborate with corporate teams to test system updates, refine SOPs, and identify improvement opportunities.
  • Provide training and ongoing support to ensure efficient and accurate system use across departments.
  • Identify and implement process improvements to connect data across systems, reduce redundancy, and improve data visibility.
Contract, Project, and Financial Tracking
  • Oversee management of a regional contract tracker (until full transition to Corporate).
  • Supervise preparation and routing of contracts and amendments in coordination with executives and Corporate Legal.
  • Maintain visibility into active and pending contracts, ensuring timely execution and documentation.
  • Partner with Corporate Finance to review financial packages, flash reports, and dashboards; identify trends and variances.
  • Oversee Navan and expense compliance processes, including review and reconciliation of expense submissions.
  • Support review of client invoices and aged receivables, escalating concerns as needed.
Compliance & Reporting
  • Oversee data integrity and compliance for all time, expense, and project entries in NetSuite and related systems.
  • Manage compliance workflows for project close-outs, client satisfaction surveys, and internal reporting.
  • Collaborate with Corporate Finance on expense policies and reimbursement processes.
  • Lead tracking of non-comp budgets and support analysis of regional spend.
  • Create dashboards and reports that synthesize insights for leadership, translating data into actionable recommendations.
QUALIFICATIONS 
  • 6-8 years of direct experience managing systems
  • In depth knowledge of HubSpot
  • Leadership or management experience preferred
  • Bachelor’s degree
  • Strong analytical and problem-solving abilities
  • Proven experience with optimizing systems, workflows, and processes

SALARY RANGE: $90,000 - $120,000
The exact salary varies within range based on years of relevant experience and education.
