Who You Are
We are seeking a proactive Corporate Events & Conferences Coordinator to provide hands-on support in planning and executing the firm’s conference and event strategy. Reporting directly to the Corporate Events & Conferences Manager, this individual will be a highly organized, detail-oriented, self-starting project manager with a passion for learning, an ability to stay calm under pressure, and the energy to multi-task in a team environment. This role is full-time, based in the NYC area, and hybrid - with the ability to work a few days from home and a few days in the New York office. Candidates must be willing to travel domestically for events, prep meetings, and location scouting.  
 
Skills/Qualifications: 
  • Bachelor's degree or relevant experience in Marketing, Business, Communications, Hospitality, or related field. 
  • Minimum of one to two years of relevant experience preferred
  • Proficiency in Microsoft Office Suite, including the use of MS Teams
  • Proficiency in working within and managing online meeting platforms such as Zoom and WebEx
  • Effective written, verbal, and interpersonal skills
  • Excellent analytical, problem-solving, and project management skills
  • Strong organization and multi-tasking skills, with the ability to self-motivate in a remote work environment
  • Persuasive nature with an ability to negotiate

 

Duties Include:
  • Coordinate, execute and be the technical point of contact for all Webinars hosted by Marketing
  • Submit event and webinar programs for CFRE accreditation   
  • Coordinate webinar speaker prep meetings, communications, and documents 
  • Coordinate and work with Third-Party Vendors to ship materials to conferences
  • Research and recommend appropriate venues and locations for receptions, dinners and meetings
  • Work with vendors to secure meeting space at hotels, coordinate AV, coordinate food & beverage, etc.
  • Work with Marketing to develop conference materials, pre- and post-conference attendee communications, invites, on-site signage and printed materials
  • Provide support to create name badges, tent cards, registration and preparation prior to conferences
  • Assist with maintaining event RSVP lists and seating plans, accommodating last minute changes on-site 
  • Assist with post-event assessments and data metrics, following up on invoice reconciliation and budget analysis
  • Review invoices for accuracy and submit timely requests for payment. Prepare and manage budget for meetings and events.
  • Build and maintain strong relationships with industry professionals
SALARY RANGE: $60,000-$70,000
