Understanding the Role    
   
CCS is seeking a self-motivated, reliable, and detail-oriented Executive Assistant to provide direct support to a Partner and other executives. The candidate will join a 12-person operations team and supporting a Managing Partner responsible for a 35-person team.  Partners are responsible for client management, sales, networking, and firm commitments. The ideal candidate is highly professional, resourceful, strategic with their time management, detail-oriented, proactive, a problem solver, and capable of prioritizing tasks in a fast-paced, deadline-driven corporate environment. Provide direct support to a Partner and other executives, providing administrative support while also serving as a proactive, solutions-oriented partner in facilitating the executives’ day-to-day activities while helping to prioritize tasks, key workstreams related to clients, business development and firmwide responsibilities, and manage follow-up activities. Responsibilities    
  • Manage executive calendars and schedule meetings with primary responsibility for Managing Partner  
  • Coordinating with team members and external partners to conduct necessary meeting preparation and follow-up  
  • Assist executive in prioritizing daily tasks by monitoring email and preparing to-do lists  
  • Looking ahead on the calendar to identify any potential challenges  
  • Coordinate executive communications, including taking calls, responding to emails, and interfacing with internal and external personnel  
  • Prepare timely expense reports and ensure compliance with all company-wide data entry policies  
  • Manage contact information and ensure timely follow-up to all correspondence  
  • Tracking and logging executive time into the database  
  • Support business development efforts by maintaining contact information, drafting outreach and responses, and other tasks as needed  
  • Make travel and hotel reservations; including tracking airline credits and rewards programs  
  • Participating in various weekly team and one-on-one meetings to provide insight and support as needed  
  • Develop and sustain a level of professionalism, among staff and clientele, consistent with the firm’s mission and values  
  • Serve as go-to point of contact for internal and external communications with executives between clients, Directors, and corporate liasions, responding to inquiries and elevating requests as needed to the executive
  • Track and prompt executive on follow-up items and support execution of follow-up (e.g., drafting responses)
  • Prompt and support executives in maintaining focus on longer-term priorities in the midst of a busy day-to-day schedule (e.g., business development, talent management)
  • Develop systems to assist executives in managing email organization and daily task prioritization
  • Additional duties as assigned  
   
Qualifications include:    
  • Bachelor’s degree  
  • 3+ years of related work experience  
  • Proficient in Microsoft Office, with the ability to become familiar with firm-wide specific programs and software, including NetSuite  
  • Strong attention to detail  
  • Handle confidential information with discretion and professionalism  
  • Multi-tasking capabilities  
  • Outstanding written and verbal communications skills  
  • Self-starter able to drive activity in a fast-paced environment

Salary range: $75,000 - $95,000    
   
Exact salary varies within salary range based on years of relevant experience and education.
