Position Summary:

Academic Schedule Coordinator implements university-wide data informed scheduling. Monitors program start dates, enrollment, class size and master schedule. Serves as a liaison to Academic Schools, Marketing, Enrollment Management and Student Services fielding questions, suggestions and troubleshooting.  The Academic Program Scheduler identifies new degree programs, program/course locations, and optimal class size. Ensures accurate class rosters. Responsible for maintaining accurate and timely updates of student attendance and enrollment.

Essential Functions:

Attendance Roster Maintenance

  • Ensures accurate and timely corrections and updates to attendance roster including adds, drops, swaps and individual class session dates in collaboration with Regional Operations.
  • Liaison to staff and faculty regarding attendance, enrollment issues, attendance and grade roster issues.
  • Assists with Independent Study requests, creating class sessions and enrolling students as needed.

Onsite Scheduling and Enrollment

  • Monitors and updates scheduling for all National University onsite courses and adjusts scheduling by adding and combining on site class offerings.
  • Maintains accurate and up to date university class schedule with timely adjustments to publish onsite schedule.
  • Assists Enrollment Management with troubleshooting for all onsite classes while ensuring appropriate attributes and/or instruction mode.
  • Assists with identifying and confirming students not in attendance and dropping inactive students in accordance with university refund and grading policy.

CIL Scheduling and Enrollment

  • Monitors and updates class scheduling for CIL online courses, and adjusts scheduling by adding and combining online class offerings.
  • Maintains accurate university class schedule with timely adjustments to published calendar dates, online schedule, and published offerings.
  • Assists Enrollment Management with troubleshooting for all online classes while ensuring appropriate attributes and/or instruction mode coding.

Quality Assurance and Improvements

  • Performs continuous quality review of scheduling and attendance processes while identifying areas of improvement for communications, policy and procedural documentation, and file handling and processes.
  • Assists with reporting, maintains data, and provides routine feedback and quality assurance checks of scheduling and attendance.
  • Provides suggestions for solutions in the areas of Enrollment and Scheduling.
  • Provides feedback and suggestions for improvements in PeopleSoft.

 

 

Requirements:

Education & Experience

  • Bachelor degree or equivalent experience.
  • Minimum 3 years in higher education setting.

Technical / Functional Skills

  • General knowledge of Microsoft Windows and Office Suite.
  • Experience with Oracle CRM Right Now and PeopleSoft.
