Position Title: BESS Service Coordinator

Position Summary:

 

The BESS Service Coordinator assists with preparing and coordinating the development and implementation of energy storage projects and associated service team supporting requirements, which will involve establishing and maintaining project management and procurement processes such as, Risk Assessment and Method Statement creation and tracking, health and safety regulations/qualifications tracker, calibration register, logistics interface, Spare Parts register/tracker, work orders, purchase orders and assisting with invoicing. Knowledge of energy storage systems, engineering principles, project management processes, construction management processes, CMMS, electrical codes, and integrated photovoltaic and battery system applications would be highly desirable. Experience with project execution processes is essential.

 

Responsibilities:

 

  • Assist the Senior Service Manager in developing project/daily plans and associated communication documents and coordinating various projects and daily related activities.
  • In charge of resource allocation, including determining schedules, managing, and maintaining spare parts, screening vendors for site projects, etc.
  • Responsible for working with service team management and contract companies to build and submit MSAs, CRFs, and Work Orders and drive them through the approval process.
  • Review and process invoices from vendors and contractors as well as track them in budget format to maintain cost objectives.
  • Develop and regularly optimize standard operating procedures to ensure better efficiency.
  • Manage the Service Team Calibration register and ensure timely announcement of pending equipment calibration, minimizing equipment downtime.
  • In charge of spare parts inventory management and reporting in CMMS, including conducting annual audits, screening vendors and entering into contracts on behalf of the company, coordinating delivery schedules, managing contracts and invoices, etc.
  • Identify the critical path required to achieve a given task and manage it until completion (self-starter, autonomous).
  • Review and verify documents for completeness, format, and compliance.
  • Oversee purchase requests/purchase orders.
  • Manage company assets (including company vehicles) and properly maintain the company’s relevant insurance policy.
  • Adhere to all health and safety rules and procedures.
  • Complete other duties and projects as assigned.

 

Qualifications and Experience:

 

  • Bachelor’s degree or diploma in a related technical discipline from a university or college.
  • Minimum 2+ years of relevant experience or equivalent combination of education and experience.
  • Must have renewables experience or a service background.
  • Solid and effective interpersonal and communication skills (including oral, written, and visual).
  • Strong organizational and time management skills; Acute awareness and ability to manage deadlines.
  • Technical proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint. Advanced Excel skills are required.
  • Expert experience with Scheduling in MS Projects (P6 would be an asset).
  • Accuracy and attention to detail are a must.
  • Ability to establish and maintain effective working relationships internally and externally.
  • Demonstrated independent thinking, initiative, and creativity.
  • Ability to function successfully both independently and within a team.
  • Demonstrated professional appearance and conduct.
  • Ability to work flexible hours (evenings, weekends) as required.
  • Valid Driver’s license, valid insurance, and access to a reliable vehicle.
  • Some travel to project sites may be required.
