Take the next step in your career by joining the team at the Wilder Institute/Calgary Zoo and grow your experience at one of the most unique sites in Calgary! The Wilder Institute/Calgary Zoo is seeking a full-time permanent Conservation and Science Coordinator to join our passionate team.
 
Reporting to the Conservation Financial Analyst, this role will support coordination needs of the department’s senior and remotely based staff, as well as department-wide administrative functions to support workflow in our program-based work in Calgary, across Canada, and internationally. This is an office-based role located at Wilder Institute/Calgary Zoo’s Calgary location, with regular business hours. There may be occasional evening or weekend requirements, as needed.

What you will do:  
  • Organizing and maintaining records including contact lists, subscriptions, file access needs, and backup timesheet entry for the Conservation & Science (C&S) team
  • Ensuring regular and consistent filing of conservation program documents, data and content, so that all records are maintained up to date and accessible across the C&S team
  • Coordinate needs of the C&S team, with a focus on senior and remotely based staff members, including coordinating and booking travel, coordinating group meetings, meeting preparation (including preparation of materials/gifts/etc for VIP meetings), minute-taking, couriering and ordering supplies, information searches, and other administrative support functions
  • Support the Executive Assistant of the CEO with coordination of the Chief Conservation Officer’s operational needs, including minute taking during key meetings, booking and coordinating travel and other support functions
  • Support the Conservation Financial Analyst with budgetary entry into financial management systems during quarterly reforecasts, and other excel spreadsheets
  • Coordinate departmental staff appreciation events and activities
  • Assist with other priority needs across the C&S department and/or other Wilder Institute/Calgary Zoo initiatives as needed.

What you will bring: 

  • Minimum 2 to 5 years administrative experience required.
  • Diploma in business administration is preferred.
  • Demonstrated ability to prioritize among multiple tasks and manage time efficiently, able to meet deadlines
  • Must have the ability to work independently and be able to work well as part of a team
  • Strong organizational skills and accuracy in detail-oriented work required
  • Excellent written and verbal communication skills required
  • Proven ability to take initiative and implement process improvements
  • Experience booking and managing travel and scheduling for senior staff members
  • Flexibility and adaptability to frequently changing priorities and deadlines
  • Effective professional interaction with employees at all levels of the organization, as well as with external collaborators
  • Ability to maintain confidentiality and discretion with sensitive information
  • Advanced computer skills, including Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, OneDrive), Adobe Acrobat, and SharePoint
  • Working knowledge of financial reporting systems is considered an asset
  • Experience working with scientists and/or environmental managers is an asset but not required
  • Passion for supporting species conservation work of zoos

Working Conditions: 

  • Extensive office work involving long periods of sitting at computer workstations
  • Some mobility around zoo grounds is required
  • Primarily Monday to Friday schedule, however occasional evening or weekend work may be required
The Wilder Institute/Calgary Zoo is an outdoor facility and all staff working at the zoo must be comfortable working in a large variety of outdoor conditions. The Wilder Institute/Calgary Zoo follows the advice of Environment Canada when responding to temperature and air quality issues.
