Paralegal (Executive Assistant)
Description
This is a fast-paced and highly responsible position that requires an individual experienced in working with very busy professionals, who can anticipate needs, juggle multiple tasks, prioritize responsibilities with little or no supervision, and deal with demanding clients and staff while maintaining a positive attitude. A focused and highly motivated self-starter that can support and organize Experts will be successful in this role. Ultimately, a team player who can help a rapidly growing team continue to expand.
Location: This is an in person position that requires you to come in the office 5 days a week. Candidates who live nearby Oakland, San Francisco and Emeryville, CA are encouraged to apply.
- Proactively support Experts to ensure operations run efficiently;
- Maintain schedule: to do list, depositions, trials, internal meetings, client meetings, travel, personal;
- Emails: Review and proactively manage email communication for one of more Experts;
- Send budget estimates to clients;
- Manage MD calendar to stay on top of commitments and deadline;
- Utilize Intapp to manage and process time entry;
- Maintain Expense Reports pertaining to business trips, meetings, etc.;
- Works with legal team to resolve and manage conflict checks of potential new matters;
- Managing monthly billing and unpaid invoices;
- Assist case team in preparing materials pertaining to various cases;
- Research case related information to help support Experts on Financial Institution related matters;
- Draft various reports and complete data analysis as requested;
- Manage case folders and documents to maintain organization and consistency;
- Compile various sets of data to provide overall case summary’s;
- BA degree preferred;
- 5+ years of related experience;
- Intermediate to advanced computer skills including proficiency in MS Office suite, including Word, Outlook, and PowerPoint;
- Proficiency in Excel, including but not limited to, spreadsheet entry, creation of tables, graphs, and formatting
- Experience in professional services (consulting) is a plus;
- Strong communication skills (both oral and written) and possess the ability to multi-task in an environment with rapidly changing priorities;
- Excellent problem solving and interpersonal skills, with the ability to work independently and proactively seek guidance where appropriate;
- Attention to detail and ability to follow through on assignments until final results are achieved;
- Ability to deal tactfully, courteously and professionally with the clients and internal colleagues;
- Ability to deal with sensitive information and preserve its confidentiality;
- Proven time management, project management and organizational skills required;
- Demonstrated ability to work well under pressure and time constraints;
- Strong research skills w/ability to summarize and communicate important details;
- Flexibility and willingness to occasionally work overtime is required;
