Summary: This position requires an individual who can work in a busy environment, possesses solid communication skills, is detail oriented and very organized.  In the event of an absence, the position will be filled by adequately trained personnel. 

Essential Duties: 

Freight Audit & Invoice Accuracy

  • Audit carrier invoices against contracted rates, tariffs, routing guides, and service agreements.
  • Validate linehaul charges, fuel surcharges, detention, lumper fees, accessorials, and miscellaneous transportation charges.
  • Compare carrier invoices to shipment records, Bills of Lading (BOLs), Proofs of Delivery (PODs), and TMS data.
  • Identify duplicate invoices, billing errors, unauthorized charges, and overpayments.
  • Ensure all invoices are coded correctly and submitted in accordance with company policy.
  • Ensures most efficient and cost-effective transportation decisions.

Carrier Dispute Resolution

  • Investigate billing discrepancies and communicate directly with carriers to resolve issues.
  • Submit and track payment disputes, credits, and rebills.
  • Maintain comprehensive audit documentation supporting all rate challenges and payment adjustments.
  • Escalate recurring carrier billing issues and recommend corrective actions.
  • Communicate effectively with Carrier partners and leadership to identify repeat carrier billing discrepancies

Financial Controls & Reporting

  • Reconcile approved freight invoices prior to payment processing.
  • Prepare weekly and monthly freight audit reports.
  • Monitor trends in billing discrepancies and carrier compliance.
  • Support transportation accruals, budget reviews, and freight spend reporting.
  • Partner with Finance to improve payment controls and audit processes.
  • Utilize Transportation Management Systems (TMS), ERP systems, and carrier portals.
  • Maintain carrier rate databases and contract information.
  • Assist with carrier onboarding documentation and data validation
  • Assist department leadership in creation of training programs and SOPs. 

Experience:                                      

  • Associate's Degree in Accounting, Supply Chain, Logistics, Business Administration, or related field.
  • Bachelor's Degree preferred.
  • 2–5 years of transportation, logistics, freight audit, billing, accounting, or carrier settlement experience.
  • Experience auditing freight invoices and transportation-related costs.
  • Experience working with carriers, brokers, and 3PL providers.
  • Experience using TMS, ERP, or freight payment systems preferred.
