This role falls within Anthology’s Global Real Estate and Facilities department, which oversees all administrative and facilities-related tasks and issues in our offices across the globe.
Specific responsibilities will include:
- Serving as the primary Real Estate and Facilities point of contact for the office
- Assisting with project support and daily security and card access systems
- Acting as liaison to Anthology HQ on all administrative policies and policy changes affecting employees
- Performing basic receptionist duties including answering phones and greeting visitors
- Overseeing and maintaining all office space, equipment, and basic supplies, including keeping all kitchen supplies, inventory, and invoicing
- Acting as first point of contact for onsite office events; managing, coordinating, or assisting with event planning and oversight as needed
- Daily mail distribution to office teams
- Coordinating with vendors to stock coffee supplies and manage the kitchen, supply ordering, and inventory management
- Working with Facilities team to collect office head count data; updating seating charts
- Supplying all necessary furniture/access keys/cards needed for new/departing employees
- Maintaining the office key inventory for furniture, lockers, offices, conference rooms
- Maintaining any Anthology office offsite document storage inventory
- Assisting with compliance of all safety procedures; implementing a clean office environment
- Recognizing danger and safety hazards and proposing methods to eliminate them
- Escorting vendors and monitoring vendor performance while onsite; managing security log
- Keeping property in attractive condition as it pertains to maintenance functions
- Working closely with security and janitorial staff to resolve hazards and other facility issues
The Candidate:
Required skills/qualifications:
- 1-2 years of professional experience
- Extraordinary customer service and quality attitude
- Ability to work under pressure and meet established goals and objectives
- Ability to multi-task and establish priorities
- Ability to maintain organization in a fast-paced, changing environment
- Basic Audio/Visual technology skills
- Proficiency in MS Office product suite including Outlook
- Strong interpersonal skills
- Customer-oriented with a true desire to be of service
- High level of integrity in dealing with issues of a confidential nature
- Fluency in written and spoken English
