Meeting Planning & Execution
Process electronic Meeting Request Forms through appropriate system eg Veeva Meetings
Conduct Fair Market Value calculations using the appropriate tool
Update system (Veeva meetings) with information on Key Stakeholder/meeting attendee such as Healthcare Professionals, Payers etc
Work with vendor on all logistics matters related to the meeting
Ensure all necessary documentation related to the meeting has been filed on SharePoint.
If meeting is internally managed, manage meeting rooms, refreshments, restaurants and transport as needed.
Contracting & Legal
Ensure contracts [Non-Disclosure Agreements, Master Service Agreements, Scopes of Work and Consulting agreements] are in place and processed through the appropriate systems eg Ariba for all vendors, Health Care Professionals, Payers etc
Set up new vendors as per BioMarin practice
Upload SharePoint with proposals and associated documentation.
Liaise with 3rd party agencies to ensure all contracts, documentation etc are correct and in-place
Raise Purchase Orders, manage Budget including monthly accruals and reporting through the appropriate system e.g. OBIEE
Compliance & Approval of Materials
Work with agencies to input the information into the Veeva Promo system & following up on review & approval
For non-promotional materials follow the required approval process
Liaise with third party agencies to address comments etc.
Work with Commercial operations to support report generation from appropriate systems such as Salesforce.com & Power BI etc.
Visa applications & logistics support for travel
Material Warehouse & Image library management including support with translations as needed by the countries

Previous experience of administrative assistance role(s), working with Commercial teams in a pharmaceutical, healthcare or other highly regulated industry and will be required to work in a culturally diverse environment.
