Position Summary
The Sr. Marketing Event and Tradeshow Specialist supports the planning, coordination, and execution of bioMérieux North America tradeshows, conferences, and marketing events. Working under the direction of the Tradeshow Manager or Marketing leadership, this role assists with event logistics, vendor coordination, registration management, exhibit support, and onsite event activities to help ensure successful event execution and positive customer experiences.
This role collaborates with internal stakeholders and external vendors to support event objectives, maintain project timelines, and execute established event processes. The role requires strong organizational skills, attention to detail, and the ability to manage multiple assignments in a fast-paced environment. This position serves as an individual contributor focused on operational execution rather than program leadership, strategy development, or technology ownership.
Primary Duties
Tradeshow & Event Coordination
- Support the planning and execution of assigned tradeshows, conferences, and customer events.
- Coordinate event logistics including registration, hotel accommodations, meeting space requests, travel arrangements, shipping, and booth materials.
- Maintain event timelines, project trackers, and task lists to ensure completion of assigned activities.
- Assist with exhibit inventory management, shipping documentation, and vendor communications.
- Coordinate event materials, promotional items, literature, and product demonstration requirements.
- Support onsite event setup, execution, and teardown activities as needed.
- Track event-related expenses and assist with invoice processing and budget reconciliation.
- Serve as a point of contact for routine event inquiries from internal customers and external vendors.
Event Administration & Technology Support
- Maintain attendee registration lists and event databases.
- Support lead retrieval processes and ensure accurate collection and distribution of event data.
- Assist with event technology platforms, including registration and reporting systems.
- Generate standard reports and provide event metrics to support post-event evaluations.
- Maintain event records, contracts, and documentation in accordance with company procedures.
- Ensure consistency with established branding and event standards.
Vendor & Stakeholder Support
- Coordinate with vendors, venues, contractors, and suppliers to support event requirements.
- Work collaboratively with Marketing, Sales, Medical Affairs, and Commercial Operations teams to support event objectives.
- Monitor progress of assigned deliverables and escalate issues to management when appropriate.
- Participate in planning meetings and provide status updates on assigned activities.
Process Support & Continuous Improvement
- Follow established event processes, templates, and playbooks.
- Identify opportunities for process efficiencies and communicate recommendations to leadership.
- Document event learnings and best practices.
- Assist with maintaining event calendars, schedules, and administrative documentation.
- Perform other duties as assigned.
Qualifications
Required Education, Training and Experience
- Bachelor's degree required.
- 2+ years experience planning and executing tradeshows, conferences, or corporate events.
Preferred Education, Training and Experience
- Demonstrated experience managing events from initial planning through onsite execution and post-event evaluation.
- Strong knowledge of tradeshow operations, exhibit management, registration, lead capture, vendors, contractors, and onsite logistics.
- Experience managing multiple events simultaneously in a fast-paced environment.
- Experience with event technology platforms such as Cvent or similar event management systems.
- Familiarity with lead retrieval, meeting scheduling, attendee engagement, event apps, surveys, and event reporting.
- Comfortable working with event data and using insights to improve event performance.
- Strong project management, organizational, communication, and stakeholder management skills.
- Exceptional attention to detail and ability to manage multiple priorities.
- Ability to work collaboratively across a complex, cross-functional organization.

Working Conditions
- Ability to remain in stationary position, either sitting or standing, for prolonged periods.
- Domestic travel required: 30%
