Position Summary

The primary responsibility of this position is to provide executive-level administrative support to several Vice Presidents in the Clinical Operations‑North America division. This position will partner with other administrative assistants throughout the company in a professional and collaborative relationship ensuring seamless support to both internal and external customers.

 

Primary Duties

  1. Provide confidential administrative support to multiple Vice Presidents and their teams within Clinical Operations–North America.
  2. Manage complex calendars, schedule and arrange meetings, and adjust plans in a dynamic environment.
  3. Coordinate meeting logistics, including agendas, presentations, recordings, minutes, and distribution of materials.
  4. Support senior leaders by assessing priorities, identifying potential conflicts, and communicating proactively; collaborate with leaders and administrative assistants to support timelines and deliverables.
  5. Maintain and safeguard confidential information and documents.
  6. Prepare, process, and submit expense reports in accordance with company procedures.
  7. Coordinate complex travel arrangements and yearly functional agendas.
  8. Prepare visitors’ agendas, reservations, and travel arrangements.
  9. Create and develop presentations, spreadsheets, reports, and documents using Microsoft Office tools.
  10. Organize internal and off‑site meetings, events, and functions, including regional, national, and CSO‑related activities.
  11. Participate in, and occasionally lead, committees and initiatives that impact CSO operations; support department continuous improvement initiatives.
  12. Oversee internal communications and department SharePoint site.
  13. Manage administrative, building, and IT requests for senior leaders, and support general office operations.
  14. Serve as back‑up to the CSO Business Coordinator as needed.
  15. Perform all work in compliance with company quality procedures and standards.
  16. Perform other duties as assigned.

 

Qualifications

Required Education, Training, and Experience

  • High School Diploma, GED or equivalent.
  • 4+ years of related experience in progressively responsible administrative experience supporting senior or executive‑level leaders managing multiple priorities.

Preferred Education, Training, and Experience

  • Bachelor’s degree in Business, Technology or related field preferred.
  • Experience supporting Executives in Commercial Operations of a large global company highly preferred.
  • Experience with Egencia and Concur preferred.

Working Conditions

  • Ability to remain in a stationary position (sitting or standing) for prolonged periods.
  • Travel Requirements: up to 10% of domestic travel

 

 

The estimated wage range for this role is between $34.50 and $45.60 per hour. This role is eligible to receive a variable annual bonus based on company, team, and individual performance per bioMerieux’s bonus program. This range may differ from ranges offered for similar positions elsewhere in the country given differences in cost of living. Actual compensation within this range is determined based on the successful candidate’s experience and will be presented in writing at the time of the offer.
