Position Summary:

The primary focus of the HRIS Specialist position is the maintenance of the human resource information systems (HRIS), currently Ultimate Software (UltiPro), and Jobvite (ATS).  This position assists with ensuring data integrity by addressing real-time data issues, testing system changes, and continually analyzing data flows for process improvement opportunities. In addition, this role is responsible for providing excellent customer service to end-users of the company’s HR information systems. 

Essential Functions and Responsibilities:

  • Technical guidance and direction to restaurant staff on the operation and maintenance of the human resources data systems. (UltiPro and Jobvite).
  • Collaborate with functional and technical staff to coordinate application of upgrade or fix for all platforms (e.g. UltiPro and Jobvite).
  • Prepare, maintain, and update employee data for the HR information system, including hiring, terminating, transferring employees, enacting job changes, and updating pay rates (both individually and as an upload).
  • Collaborate with functional experts to ensure all systems and processes are communicating properly to and from the HRIS platform.
  • Work closely with the HR team to administer and support all HR system technologies and enhancements that improve HR operational efficiency and effectiveness.
  • Assists with projects such as data and workflow management to support ad-hoc HR projects.
  • Monitor the HRIS and recruiting mailboxes and respond to inquiries from employees and restaurant staff.
  • Maintain system Security roles and groups to ensure users are assigned proper security roles. Create/disable users as requested in a timely manner.
  • Responsible for data integrity in the system by running queries and analyzing data.
  • Troubleshoot and resolve reported issues to ensure timely resolution.
  • Develops, produces, and analyzes reports generated on a regular and ad-hoc basis from the ATS and HRIS system.
  • Audit the hiring process with respect to interfaces that run between the ATS and HRIS platforms.
  • Partner with recruiting to acts as the web editor for career pages to maintain social media websites for search engine optimization with up-to-date information.
  • Cross-train with HRIS Manager to provide back-up support in the absence of the HRIS Manager.
  • Other duties may be assigned.

 

Skills/Knowledge:

  • Ability to troubleshoot technical issues as well as develop and implement strategies to address problem areas with human resource technology.
  • Possess a drive to improve current workflow and productivity via technology and a desire to learn new technologies.
  • Implement and maintain human resource information management systems and ATS platforms.
  • Skill in planning, organizing, and managing workload and priorities.
  • Able to work in an environment with frequent interruptions and changing tasks and priorities.
  • Ability to effectively communicate on complex issues with a high level of effectiveness.
  • Able to organize work and set priorities for accomplishing work in a timely and effective manner.
  • Able to work collaboratively and effectively with other staff, employees, and supervisors.
  • Skill in the use of technology hardware and software.
  • Ability to handle data with confidentiality.

 

Education/Experience:  A minimum of three (3) years of experience working in an HRIS function.  UltiPro experience is required. Equivalent combination of skills, experience and education will be considered.
