Position Description:

The Data Entry Associate provides primary data entry support for the Membership department of Brooklyn Botanic Garden (BBG). BBG has, on average, 18,000+ member households annually. The Associate processes all membership gifts using Raiser’s Edge, prepares and prints membership cards and acknowledgements, assists other department staff with transactions, and prepares and prints reports for finance. The associate is also responsible for data integrity. This position is part of a 15-person department that is responsible for raising approximately $6 million from a variety of funding sources. The data entry associate has regular contact with the all Development staff as well as the Finance and IT departments.

 Primary Responsibilities:

  • Process all Membership orders (mail, online, onsite).
  • Assist with individual gift processing.
  • Process other development gifts as needed.
  • Coordinate printing and mailing of membership renewal and fulfillment materials.
  • Deliver cash, checks, and credit card forms to the business office on a daily basis.
  • Prepare various reports for Membership and Development staff; prepare and print daily reports for the business office.
  • Process monthly auto-renewals and follow-up on credit card denials in a timely fashion.
  • Maintain consistent, clean data for Membership and Development.
  • Assist with responding to member calls and correspondence in a timely and efficient fashion, including but not limited to the following:  
    1. Address changes
    2. Telephone and in-person renewal requests
    3. Missing publication requests
    4. Lost card processing
    5. General complaints and queries
    6. General information about benefits
  • Play active role as part of the larger Development team to strategize new ways to increase revenue for the Garden.
  • Assist with Membership and Development events.
  • Assist with onsite sales.
  • Perform other related duties or special projects as directed.


  • Bachelor’s degree strongly preferred
  • Excellent organizational, technical, and computer skills
  • Proficient in Raiser’s Edge, particularly data entry and extraction procedures
  • Organized, detail-oriented, energetic team player with a good sense of humor
  • Able to meet deadlines and work on multiple projects with a high degree of accuracy
  • Able to interact with staff at all levels
  • Crystal Reporting experience preferred
  • Strong customer service experience
  • Available to work evenings and occasional weekend particularly during the Garden’s peak season (March–October)
  • Able to work outside as well as lift and carry membership and event materials as needed
