About the Role:
The Payroll and Benefits Admin Manager is a key member of the People Team, responsible for ensuring the accurate, timely, and compliant administration of payroll and benefits programs. This role supports our team members by delivering a seamless experience across all aspects of compensation and benefits from onboarding to offboarding. Partnering closely with Finance, vendors, and the broader People Team, this person ensures operational excellence while enhancing the overall team member experience.

What You'll Do:
Payroll Management
- You will be responsible for the overall performance of the payroll function, ensuring accuracy, compliance, and exceptional team member experience.
- Manage accurate and timely payroll processing across multiple pay cycles (biweekly) for 500+ hourly and salaried team members across multiple states.
- Ensure accurate monthly sales commission processing in close partnership with the Incentive Compensation team, supporting a high-performance sales organization.
- Maintain full compliance with federal, state, and local tax and labor laws.
- Troubleshoot and resolve complex payroll challenges including overpayments, retroactive changes, special payrolls, and adjustments.
- Process and respond to payroll tax-related notices in coordination with payroll providers and relevant agencies.
- Manage and administer wage garnishments in accordance with legal requirements and company policy.
- Act as a primary point of contact for team member inquiries regarding pay, timesheets, PTO balances, and other payroll-related questions.
- Partner with Finance, Accounting, Incentive Compensation, and People Business Partners to ensure smooth payroll execution.
- Prepare and maintain accurate records and reporting for all payroll transactions.
- Support year-end processes including W-2s and 1095-Cs in collaboration with payroll vendors and People Team colleagues.
- Ensure EDI feeds between payroll and benefit vendors are accurate and functioning, and resolve any discrepancies as needed.
- Manage benefit funding processes for 401(k), commuter programs, HSA/FSA, and other pre-tax deductions.
- Lead payroll integration planning and execution for acquired businesses.
- Develop and analyze custom payroll reports to inform decision-making.
- Continuously identify and implement payroll best practices and process improvements.
Benefits Administration
- You will oversee the administration and compliance of our health and wellness benefits, ensuring a smooth and supportive experience for all team members.
- Oversee the annual benefits enrollment processes, manage vendor relationships, and administer benefits technology platforms.
- Collaborate with brokers on benefit design, renewals, and provider selection to deliver optimal program offerings.
- Evaluate the competitiveness, cost efficiency, utilization, and overall team member experience of current benefits programs.
- Administer daily benefits activities including enrollments, QLEs, terminations, COBRA, workers’ compensation, disability claims, and FSA/HSA/401(k) account changes.
- Maintain accurate and up-to-date records in benefits systems.
- Review and reconcile monthly benefits invoices (medical, dental, vision, COBRA, etc.) for accuracy.
- Partner with AP to ensure timely and accurate invoice payments.
- Oversee leave of absence processes to ensure proper pay, benefits continuation, and HRIS updates.
- Ensure all benefit-related inquiries are responded to in a timely and professional manner.
- Manage and audit all pre-tax benefits and support compliance testing and reporting needs.
- Support the year-end benefits process, including 1095 review and ACA compliance. Provide regular and ad-hoc reports to the People Team, Finance, and other stakeholders.
- Assist in special benefits projects as needed.
Minimum Qualifications:
- Bachelor’s degree from an accredited institution.
- 3+ years of progressive payroll experience.
- 3+ years of benefits administration experience.
- Expertise in ADP Workforce Now and UKG preferred
Qualifications & Skills:
- Strong working knowledge of payroll tax laws, benefits regulations, and compliance requirements.
- Familiarity with ACA, ERISA, COBRA, FMLA, ADA, Section 125, workers' comp, Medicare, COBRA, Social Security, and DOL regulations.
- Effective verbal and written communication skills.
- High level of discretion and commitment to confidentiality.
- Proficiency in Excel and Microsoft 365 tools.
- Detail-oriented with strong financial and analytical acumen.
- Adaptable and comfortable working in a dynamic, fast-paced, evolving environment.
- Enthusiastic about participating in cross-functional projects that support broader People Team goals.
