Job Summary
The Senior Pharmacy Technician is a lead member of the dispensary team responsible for supporting safe, compliant, and efficient dispensing operations in accordance with Virginia Cannabis Control Authority (CCA) regulations, company policies, and the direction of the Pharmacist General Manager and Manager of Retail Operations (MRO).
This role provides leadership for patient service, dispensary operations, workflow management, and inventory control while promoting regulatory compliance, operational excellence, and team development. All duties are performed within the scope of practice for Virginia registered pharmacy technicians under the supervision of a licensed pharmacist.
Duties and Responsibilities
Patient Care and Dispensing Operations
- Provide exceptional care and service to patients.
- Support patient intake, registration verification, and certification eligibility review.
- Verify patient certifications and dispensing eligibility
- Enter and maintain accurate patient, dispensing, and inventory records in POS and inventory systems.
- Retrieve approved products from inventory for dispensing.
- Complete point-of-sale transactions and process patient purchases accurately and compliantly
- Coordinate, prepare, verify, organize, and stage patient online pre-orders.
- Support curbside pickup, reservation, and fulfillment programs when applicable.
- Promote a positive patient experience, resolve patient concerns and execute service recovery opportunities escalating to PIC and MRO when appropriate.
- Maintain strict confidentiality of patient information.
Dispensary Operations Leadership
- Monitor and coordinate daily sales floor operations.
- Ensure efficient patient flow and operational readiness.
- Assist with opening and closing procedures.
- Verify completion of operational readiness activities including inventory preparation, supply stocking, cleanliness, and workflow readiness.
- Serve as a lead technician and role model for team members.
- Lead by example in patient service, compliance, and operational execution.
- Coordinate daily operational priorities with management.
- Support achievement of dispensary sales, service, and operational goals.
- Demonstrate ownership of dispensary operations and patient experience outcomes.
- Maintain a clean, organized, professional, and welcoming dispensary environment.
- Monitor completion of cleaning schedules and sanitation procedures.
Inventory Control
- Serve as an inventory resource and operational lead for inventory control activities.
- Perform daily inventory counts, cycle counts, blind counts, and assisting with monthly, quarterly, and annual inventory audits and reconciliations
- Execute daily replenishment activities to ensure product availability
- Maintain an accurate and complete digital inventory and menu representation across all inventory management, POS, and regulatory tracking systems.
- Review product information, descriptions, pricing, inventory statistics, cost metrics and system records to ensure accuracy and compliance.
- Maintain inventory accuracy across all physical and electronic inventory systems.
- Assists with order intake, scanning and backstock/ salesfloor organization
- Maintain a clean, organized, secure vault and inventory storage environment.
- Ensure all products are secured appropriately at the end of each business day.
- Flags quality issues quickly through the correct reporting channel
- Ensure all inventory adjustments and product movements comply with regulatory requirements.
Compliance and Regulatory Responsibilities
- Ensure adherence to all Virginia Cannabis Control Authority regulations, company SOPs, security requirements, and quality standards.
- Maintain accurate dispensing, inventory, transaction, and compliance records.
- Assist with regulatory inspections, audits, inventory reviews, and compliance assessments.
- Escalate compliance concerns, discrepancies, or suspicious activities to management and the Pharmacist-in-Charge.
- Maintain inspection readiness at all times.
Cash Handling and Financial Controls
- Support cash handling, drawer reconciliation, and cash control procedures.
- Monitor adherence to established cash management procedures.
- Assist with investigation and resolution of cash variances.
- Ensure POS transactions are executed accurately and consistently.
- Promote accountability and financial accuracy throughout dispensary operations.
Training, Development, and Employee Engagement
- Train, mentor, and onboard pharmacy technicians and dispensary team members.
- Conduct product knowledge training and inventory management training.
- Support communication and implementation of new policies and procedures.
- Lead daily shift huddles and operational briefings.
- Educate team members regarding new products, promotions, and operational initiatives.
- Assess training needs and provide coaching opportunities.
- Promote employee engagement through coaching, recognition, accountability, and leadership.
- Foster a culture of teamwork, continuous improvement, and compliance.
Qualifications
Required
- Current unrestricted Virginia Pharmacy Technician Registration.
- High school diploma or GED required.
- Minimum three (3) years of pharmacy technician, healthcare operations, inventory management, retail healthcare, or regulated dispensing experience.
- Minimum one (1) year of leadership, trainer, inventory lead, lead technician, or supervisory experience preferred.
- Strong understanding of inventory control, inventory reconciliation, cash handling, documentation, and regulatory compliance.
- Experience using pharmacy, dispensary, POS, inventory management, and regulatory tracking systems.
- Strong communication, organizational, leadership, and problem-solving skills.
- Ability to maintain confidentiality and professionalism.
- Ability to pass all required background checks and obtain all required registrations.
Preferred
- Experience in medical cannabis, specialty pharmacy, hospital pharmacy, or highly regulated healthcare environments.
- Experience supporting audits, inspections, inventory programs, and quality assurance initiatives.
- Knowledge of Virginia medical cannabis regulations and CCA requirements.
- Experience leading patient-facing retail healthcare operations and inventory management programs.
Education
Equivalent combination of work/education experience accepted.
Working Conditions
- The person in this position may be exposed to dust, kief, cleaning chemicals and fumes. Although systems are in place to remove these byproducts, there is still exposure to some degree.
- Must be able to work flexible days/times. Working alternative shifts, weekend days and past business hours are required sometimes with little notice.
Physical Requirements
- Must be able to constantly remain in a stationary position when required.
- The person in this position needs to frequently move about the inside and outside of facilities.
- Constantly operates a CCTV system, computer and other equipment such as a cell phone and GPS.
- The person in this position frequently communicates with staff, visitors and vendors regarding security procedures. Must be able to exchange accurate information in these situations.
- Frequently lifts, loads, unloads, moves, positions and transports items up to 50 pounds.
