Your Role:
The Jobvite Systems Specialist is responsible for the administration, optimization, and daily support of the Jobvite Applicant Tracking System. This role ensures recruiters, hiring managers, and interviewers can effectively utilize Jobvite throughout the hiring lifecycle. In addition to Jobvite, the Specialist may also support other talent acquisition or HR technology platforms to ensure seamless operations across the People team.
Duties:
Jobvite System Administration
- Serve as the primary administrator and SME for Jobvite.
- Configure and maintain:
- Requisition and offer templates
- Approval workflows
- Application forms, screening questions, and automation rules
- Candidate communication workflows
- Career site job postings
- Manage user accounts, permissions, and security roles.
Jobvite Support & Troubleshooting
- Provide daily support to recruiters, hiring managers, HR partners, and interviewers.
- Troubleshoot issues related to system access, workflows, scheduling, postings, and candidate movement.
- Work with Jobvite Support and internal IT to resolve technical issues.
Reporting & Data Integrity
- Build and maintain Jobvite dashboards and recurring reports.
- Provide recruiting analytics, including:
- Time‑to‑fill / Time‑to‑start
- Pipeline activity
- EEO/OFCCP reporting
- Source effectiveness
- Perform periodic audits to maintain data accuracy and compliance.
Jobvite Workflow Optimization
- Evaluate and improve current Jobvite processes to increase efficiency and data quality.
- Configure automation rules and streamline recruiter and hiring manager workflows.
- Document all system changes and enhancements.
Integrations (Jobvite‑Specific)
- Support integrations with:
- HRIS/HCM systems
- Background check providers
- Career site platforms
- Calendaring/scheduling tools
- Test Jobvite updates, releases, and new features.
Training & Documentation
- Train new system users on Jobvite functionality and best practices.
- Develop documentation including:
- Step‑by‑step guides
- Quick reference sheets
- Video walkthroughs
- Troubleshooting FAQs
- Update SOPs and process documentation regularly.
Compliance & Data Privacy
- Ensure Jobvite configurations comply with:
- EEO/OFCCP
- CCPA
- Record retention policies
- Manage system audit records and documentation.
Support for Other Systems
- Provide light administration, troubleshooting, or workflow support for other TA‑related or HR systems (e.g., onboarding tools, scheduling applications, reference check tools, or HRIS integrations), as directed by TA Ops or HRIS leadership.
- Assist with evaluating and implementing new TA technology solutions.
Minimum Qualifications:
- 2–4+ years of hands‑on Jobvite administration experience.
- Strong understanding of recruiting processes and Jobvite workflows.
- Experience managing user roles, permissions, and system configurations.
- Proficiency in Jobvite reporting and analytics.
- Ability to support non‑technical users and communicate clearly.
- Strong organizational skills and attention to detail.
Preferred Qualifications:
- Experience with HRIS integrations or related systems.
- Experience supporting additional People & Culture tools (onboarding, background check, CRM, etc.).
- Biotech, pharma, manufacturing, or CDMO industry experience.
- Experience with compliance reporting (EEO/OFCCP).
Position Type/Expected Hours of Work:
This role is a temporary position. Days of work are Monday through Friday unless otherwise stated by Supervisor. Must be available to work holidays, weekends, or extended hours when needed.
Compensation:
The compensation range for this role is $30.00 to $50.00 hourly depending on experience and qualifications. We offer a supportive and inclusive work environment.

Physical Demands & Work Environment:
