Accounts Payable Analyst

Overview

The Accounts Payable Analyst plays a pivotal role in the evolution of the Procure to Pay process, change process, change management, and driving process improvements, automation, and other efficiencies to transform our business. This role will monitor and manage the Vendor Master File (VMF), T&E program (Concur), and Accounts Payable systems. It will require working closely with cross functional employees across the globe, our supplier base, and other key stakeholders. Additionally, this role will support the Global P2P Ops strategy and participate in the implementation of supporting technology and systems.
This role will be responsible for supporting the AP daily responsibilities, supplier onboarding and vendor data management in our ERP and other tools. The analyst will also be responsible for the hygiene of the VMF which includes acquisitions, site level modification, banking infrastructure, and proper categorization for tax/1099 purposes. The role will be a subject matter expert (SME) and play a key role in developing the roadmap and implementing future enhancements to our end-to-end P2P suite.

Duties and Responsibilities


  • Assist in the implementation of Procure to Pay process improvement projects including implementation of enhancements to our ERP and P2P systems
  • Reconcile processed work by verifying entries and comparing system reports to balances
  • Address and respond to vendor and/or internal customer inquiries promptly and professionally
  • Train new and existing users on business expense system (Concur) to ensure business expense reimbursements are processed accurately and most efficiently
  • Cross train on AP functions and ability to perform as backup support for day-to-day processing of vendor data, invoices, and payments in accordance with timelines when needed
  • Maintain and manage the Master Vendor file
  • Maintain 1099 information and collect W-9 information from vendors
  • Conduct TIN match in IRS database
  • Responsible for year-end 1099-MISC filing
  • Administer accounts payable system including design, implementation and testing of ongoing changes and enhancements
  • Manage the corporate card program, including month end accruals, reconciliations to statement
  • Prepare journal entries, including month-end accruals, and perform general ledger account reconciliations
  • Through insightful AP and Staff metrics, need to identify opportunities on effectiveness and efficiencies of AP processes and Staff performance
  • Ability to communicate with all levels of management
  • Perform other special projects and analyses as directed by management
  • Be able to work a hybrid schedule

Requirements:


  • 5-7 years experience in the Accounts Payable and the Procure to Pay process
  • Bachelor's Degree required
  • Experience in a rapidly evolving P2P environment
  • Demonstrated Experience defining and implementing process improvements including simplification, standardization, and automation
  • Experience with P2P tools is required
  • Experience with AP Workflow and Automation Tools is a plus
  • Oracle NetSuite experience is a plus
  • Experience with SAP Concur as an admin and other T&E tools is a plus
  • Must have the ability to analyze and solve problems, prioritize tasks and work independently
  • Must be detail oriented and possess excellent organizational and planning skills
  • Strong verbal and written communication skills as well as interpersonal skills and the ability to work in a team environment are essential
  • Ability to work in a fast-paced environment and have the flexibility to handle various job assignments
  • Proficient with Excel and Word
  • Experience with month-end close process – preferred
  • Aptitude for learning and developing new processes
  • Ability to exercise independent judgment and decision-making in planning, organizing, and conducting work assignments
