1 year Maternity Cover - part-time role with flexible schedule

Overview:

As Receptionist, reporting to the Director of Facilities, you will play a fundamental role in the UK Team by creating and maintaining an enjoyable office environment whilst ensuring high levels of organisational effectiveness, communication, and safety. The successful candidate must be flexible with scheduling as they will not only manage the front desk but will oversee all facility related duties for managing the day to day of the office and occasional events.

Key Responsibilities:

  • Maintain reception and office appearance.
  • Be first port of call for all visitors to the office, largely customers and partners. Ensure all visitors are registered and signed in.
  • Manage employee registration and desk reservation tool.
  • Be the first point of contact for all office related queries and manage UK Facilities Helpdesk.
  • Manage stock levels ensuring that office refreshments, stationery and equipment are sufficiently stocked and maintained.
  • Meeting room diary management and ensuring that meeting rooms are set up and refreshed as required (in some cases this will include providing refreshments and/or catering).
  • Handling all incoming and outgoing mail. Working closely with IT on courier shipments.
  • Liaise with the Building Management Team and external vendors as required.
  • Assisting with any in-office events.
  • Maintain security – follow and enforce office and company security procedures.
  • Health & Safety – carrying out the necessary checks, reporting, risk assessments and recording all information accurately.
  • First aid and fire marshal training.
  • Working with our PX team to assist with new starter onboarding and offboarding.
  • Assist global Facilities team and other departments as directed/needed.

 

Skills Profile:

  • 3 + years experience in a similar role
  • Strong computer and MS Office skills
  • Organised with an ability to multi-task and prioritise
  • Good communication skills and great attitude
  • Attention to detail
  • Practice discretion and confidentiality at all times
  • Excellent written and spoken English
  • Inventory and supply management
  • Personable with strong relationship building capabilities across all levels of the business
