Essential Functions & Responsibilities:
- Assist Project Managers on multiple projects with varying team members
- Coordination and scheduling of project meetings, taking and distributing minutes to internal project team
- Responsible for assisting Project Manager with billing coordination with accounting department as needed by Project Manager/Assistant Project Manager
- Assist Project Managers with proposals and associated contract documentation
- Prepare and maintain project documentation including creating, updating, maintaining: project schedule files, meeting minutes, estimates, progress reports and status reports, dashboard
- Project document control with RFIs, shops drawings, submittals, transmittals, etc.
- Manage project-related paperwork by ensuring all necessary materials are current, properly filed and stored
- Assist Project Managers with construction admin process, including, but not limited to RFIs, shop drawings, bulletins, etc.
- Develop and assist Project Manager with project budget off project estimate
- Coordinating billing schedule with accounting department
- Communicate with Project Manager and accounting on aged receivable collection and client correspondence
- Keep the Project Manager/Assistant Project Manager informed about project status and issues that may impact client relations
- Prepare management reports for internal use
- Work with sub-consultant(s) to coordinate trades as required
- Attend job meetings & coordinate activities as required
- Attend training as requested to further enhance your duties
- Complete and submit weekly paperwork (e.g. Timesheets, Expense Reports, etc.)
- Assist with equipment procurement process to include submitting vendor RFQs, assembling bid tabulations, working with engineers and PM’s on populating bid tabulations, issuing vendor Pos, tracking vendor deliverables, tracking equipment shipments and deliveries, updating PM and Client with status
- Perform other duties as assigned
Minimum Qualifications:
- Proficient in Microsoft Office Suite of software
- Must have excellent time management skills and communication skills
- Ability to work accurately, with attention to detail
- Strong verbal and written communication skills
- Outstanding initiative, well-organized and strong sense of responsibility
- Excellent computer knowledge and advanced skills using Microsoft Office applications are required
Education & Experience:
- High school diploma or equivalent
- One to three years of project management, engineering, and/or construction procurement experience preferred
License & Certifications:
- Driver's License Required
Travel:
Occasional overnight stays and local day travel may be necessary. You will be responsible for providing your own transportation to and from the office and job sites. You will be reimbursed for business expenses such as tolls, parking, and business-related mileage at a rate allowable by government standards. The expenses incurred traveling to and from the office are excluded from reimbursement.
