Job Description: Office Administrator - Tree Vegetation Management

 

We are seeking a highly organized and motivated Office Administrator to join our tree vegetation management office. This crucial role will oversee all hiring activities, manage the I-9 process, and build pipelines of candidates, in addition to handling various administrative responsibilities and projects assigned by leadership.

Key Responsibilities:

  • Hiring Activities: Manage the end-to-end recruitment process, including posting job openings, screening resumes, scheduling interviews, and extending job offers.
  • E-Hire Responsibilities: Utilize electronic hiring platforms to streamline the recruitment process, ensuring timely and efficient onboarding of new hires.
  • I-9 Process Management: Oversee the I-9 employment eligibility verification process, ensuring compliance with federal regulations and maintaining accurate records.
  • Pipeline Building: Develop and maintain a pipeline of qualified candidates for current and future positions by networking, attending job fairs, and utilizing social media and other recruitment channels.
  • Administrative Support: Perform general office duties, including managing correspondence, scheduling appointments, maintaining files, and ordering office supplies.
  • Project Management: Assist with administrative projects assigned by leadership, ensuring timely completion and adherence to company standards.
  • Communication: Serve as a liaison between candidates, employees, and management, ensuring clear and effective communication throughout the hiring process.
  • Compliance: Ensure all hiring practices comply with company policies, industry regulations, and legal requirements.

Qualifications and Education:

  • Minimum of 1 year of experience in recruitment, office administration, or a related role.
  • Bachelor’s degree preferred but not required
  • Strong knowledge of e-hiring platforms and the I-9 process preferred.
  • Excellent organizational and multitasking skills.
  • Proficient in Microsoft Office Suite and other office management software.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and a high level of accuracy.

The ideal candidate for this position will be someone who is a quick learner, proactive in their approach, and possess a strong sense of ownership. 

License & Certifications:

  • A Driver’s License is required. 

Travel Requirements:

  • This position requires travel to regional sites, including occasional overnight stays as necessary.
