Who We Are Looking For:
We seek a highly organized and proactive Programs Specialist to support our Investor Segment Product Development teams. This individual will play a key role in ensuring our teams run smoothly by managing virtual and in-person events, providing light executive administrative (EA) support to senior leaders, overseeing the logistics of various team meetings, and supporting the onboarding of new hires. The ideal candidate is detail-oriented, has exceptional communication skills, and excels at juggling multiple priorities.
What You Will Do: 
Event Management
  • Plan and execute internal team events, offsites, and workshops.
  • Coordinate logistics such as booking spaces and venues, arranging travel (if needed), and managing budgets.
  • Serve as the primary liaison for meals and catering for Product/Dev working sessions, team lunches, and special events.
  • Collaborate with internal stakeholders to ensure events meet goals and align with team culture.
    • Stay connected with other specialists in cross-functional monthly meetings, maintaining alignment and ensuring the efficient execution of tasks across teams.
Team Support & Culture Carrier
  • Help create an inclusive culture where people feel they belong, have a voice and can contribute.
  • Identity cultural issues to solve and engage people to make sure they feel a part of the team. 
  • Stay connected with teams to help identify opportunities to celebrate wins and foster a sense of community.
Leadership Administrative Assistance
  • Provide calendar management and scheduling support for senior Product, UX, and Engineering leaders.
  • Assist with drafting meeting agendas, presentations, and meeting minutes as needed, ensuring effective documentation and follow-up.
  • Help maintain alignment across senior leadership schedules and commitments.
Meeting Coordination & Facilitation
  • Attend and manage weekly, monthly, and quarterly Product/Dev team meetings.
  • Ensure agendas, materials, and follow-up tasks are communicated and tracked.
  • Take thorough notes to capture key decisions, action items, and next steps.
Communication & Documentation
  • Support the creation of team newsletters and other internal communications.
  • Manage and update group-level Coda pages, ensuring documentation is accurate and current.
  • Organize and maintain relevant email groups and distribution lists.
Onboarding Program Management
  • Coordinate onboarding schedules and resources for new Product, UX, and Engineering hires.
  • Create, maintain, and improve onboarding materials to facilitate a smooth start for new team members.
  • Act as a point of contact for new employees, ensuring they have the necessary equipment, resources, and introductions.
Administrative & Process Improvement
  • Identify opportunities to improve operational efficiency within the Product and Engineering organizations.
  • Implement and maintain best practices for project planning, documentation, and knowledge sharing.
  • Proactively solve problems and address gaps in team support.

 

Qualifications:
  • Experience: 2+ years of experience in program coordination, administrative support, or a related role. Experience working with Product or Engineering teams is a plus.
  • Organizational Skills: Demonstrated ability to handle multiple projects, tasks, and priorities with accuracy and attention to detail.
  • Communication: Excellent written and verbal communication skills; comfortable interacting with all levels of leadership and cross-functional partners.
  • Tech-Savvy: Proficient in tools like Google Workspace, Airtable, and collaboration platforms (e.g., Slack, Coda). Willingness to learn new systems and software.
  • Adaptability: Comfortable navigating change in a fast-paced environment, maintaining a positive, can-do attitude.
  • Team Player: Strong interpersonal skills with a track record of building effective relationships across departments.
  • Problem-Solving: Proactive and resourceful in identifying inefficiencies and creating process improvements.

Compensation & Benefits
The hourly wage that we reasonably expect to pay for this role is $28.40 - $34.80 per hour.

The actual hourly wage for this role will be determined by a variety of factors, including but not limited to the candidate’s skills, education, experience, etc.
 
Please note that base pay is one important aspect of a compelling Total Rewards package. The base pay range indicated here does not include any additional benefits or bonuses/commissions that you may be eligible for based on your role and/or employment type.
