Associate Workplace Services Specialist
Description
- Workplace Experience & Services: Support Front Desk (onboarding, training, coverage). Plan and coordinate Santa Barbara events (budgeting, vendor management, execution). Propose office and team improvements, enhancing productivity and engagement. Manage Asana licenses (tech support, education). Provide weekly travel reports.
- Safety & Security: Support Facilities Director with emergency planning, documentation, training, and drills (yearly ERP updates, CPR/AED/First-Aid certifications). Manage Floor Warden Program (awareness, zones, training with AK Preparedness). Host annual safety meetings. Manage Everbridge Software (admin, training, integrations). Support Real Estate Operations in IIPP/WVPP (hazard assessments, Employee Recognition Program). Manage WELL Health & Safety Rating Certification renewals.
- Health & Wellness: Obtain ergonomic certification for workstation assessments. Support on-site Fitness & Wellness Program (budgeting, instructor scheduling, class monitoring, internal communications). Coordinate wellness events (massages, marathons). Process POs/invoices for Santa Barbara instructors. Maintain Fitness Hub pages. Partner with local fitness providers for employee benefits.
- Communication & Operations: Support the VP of Corporate Real Estate with meeting coordination, calendar, and daily operations. Assist with key departmental communications (presentations, All-Hands, notifications). Create impactful slide decks. Plan key team leadership meetings.
- Real Estate: Assist Department leaders in updating the Operational Dashboard quarterly.
- Communication: Strong written/verbal skills across all levels, emphasizing creative writing.
- Self-Directed: Ability to independently identify, prioritize, and complete tasks.
- Financial Acumen: General understanding of real estate/facilities economics and proficiency in accounting software (e.g., Coupa, Expensify, Excel, Google Analytics).
- Customer Experience Oriented: Strong commitment to exceptional internal/external customer experiences.
- Project Management: Ability to manage multiple projects, ensuring timely completion and stakeholder communication.
- Influence & Negotiation: Strong listening skills for internal clients and external providers.
- Fostering Teams: Adherence to team values, fostering teamwork, and strong relationships.
- 4+ Years of relevant work experience.
- Bachelor's degree in Business, Finance, Hospitality, Communications, Program Management, or the equivalent in work experience.
