Job Specification: 
 
The principal objective of this first line of defence position is driving the strategic direction of the AML/CDD Team and the AML control framework within which the firm should operate. This role requires strong regulatory knowledge and an appreciation of operational best practice. This is a leadership role within the AML/KYC team. 
 
The Team Manager AML KYC contributes to the day-to-day management of the AML and Registration teams within Transfer Agency Operations for our Luxembourg clients and act as an escalation point for complex AML queries from investors, clients and team members. The AML KYC Team primary tasks are the performing of Initial Due Diligence (IDD) and ongoing Due Diligence (ODD) to review the risk levels of Fund investors and re-assess KYC documentation to perform or refresh the identification of complex entities in accordance with the current regulatory requirements in Luxembourg, alongside Apex Group as well as Apex Funds Services S.A, policies, and procedures. 
 
Specifically, supervision of these functions will include the following: 
 
Service Delivery Performance  
  • Supervise the timely and accurate provision of our services in line with the terms of the Administration- and Service Level agreements (SLAs) signed with Clients. Support the teams with the usual processes as and when required;
  • Interact with senior management on governance-related matters, in case of escalations;
  • Take ownership and provide guidance to Team members where necessary on complex cases and / or analyse, consult with line management, senior management and compliance;
  • Maintain an effective control & oversight framework. Encourage a first-time right culture within Teams aiming at zero error recorded as a consequence of a failure of our controls (maker/checker) or any particular omission;
  • Encourage a zero Client or Investor complaint culture by Teams, by way of effective and efficient communication, respect of business etiquette and professional interaction with all stakeholders; 
  • Ensure terms of SLAs, where applicable, are adhered to and updated regularly for each Client;
  • Ensure KPIs and MI is defined for each Team member;
  • Ensure discipline is applied for the completion of Kimble timesheet as well as timely client billing to ensure revenues collection;
  • Drive outsourcing of processing tasks and maintain efficient communication and quality control over activities performed offshore.
 
Governance  
  • Continuous monitoring ensuring adherence by AML KYC Team to procedures and applicable policies;
  • Oversee within your Team AML KYC Investors onboarding and offboarding processes to ensure objectives are achieved;
  • Ensure up to date trackers relating to investors onboarding, periodic reviews etc are maintained;
  • Supervise AML KYC Team, including on-going due diligence plan & oversight of delivery;
  • Stay abreast of emerging financial crime trends including and changing regulatory environment;
  • Implement regulatory changes as required from time to time;
  • Develop strong working relationships with Clients, MLRO’s, shareholders, auditors and other external and internal parties as required;
  • Provide advice and guidance on regulatory requirements (internal);
  • Assist Team Members in explaining regulatory requirements to clients and investors;
  • Use appropriate tact and diplomacy when exchanging complex or sensitive information with internal or external stakeholders;
  • Participate in any audit-related exercises (Internal/External audit, QA etc) as required, ensure all documentary evidence is provided and any query from Auditors is answered in time to prevent cost overruns;
  • Contribute to the success of due diligence visits and annual due diligence reviews by clients;
  • Participate in investors and/or client calls to troubleshoot, ease onboarding or migration of funds;
  • Perform and ensure Team performs functions in line with the department procedure and Apex policies in respect of the regulatory framework, the internal procedures, guidelines and code of conduct.
Human Resources: 
  • In charge of motivation, performance management and development of staff (including AML training) to provide the highest level of service to all internal and external clients;
  • Ensure adherence to our corporate values, lead by example and apply relevant conduct/behaviour in everything we do;
  • Manage Team Members, hold regular group and one-to-one meetings;
  • Ensure that all Team Members have adequate training and development plans in place;
  • Manage capacity in an efficient and proactive manner, ensure coverage is aligned with applicable requirements (backups, lunchtime, WFH);
  • Ensure objectives are cascaded in time, regular 1:1s are held with direct reports and performance reviews are completed as per group timelines; and
  • Ensure that AML team objectives and processes are aligned with larger strategic initiatives.
  • Ensure mandatory trainings are completed on time

  • Drive specific ad-hoc projects and supervise delivery and completion; and
