Receptionist / Rentals Associate (Part-Time)

The Reception & Studio Rentals Assistant serves as the first point of contact for students, staff, faculty, rental clients, and guests, delivering exceptional customer service both in person and over the phone. This role manages high-volume call routing for AMDA Reception and Studio Rentals, coordinates studio bookings, processes payments, and assists clients with rental inquiries and check-ins. The position also supports daily operations through clerical tasks, basic equipment maintenance, and ensuring facilities are secure and orderly at closing. Success in this role requires strong communication skills, excellent attention to detail, and the ability to take initiative while troubleshooting issues and supporting Rental Management as needed.
Primary Responsibilities:
- Welcome and provide excellent customer service to all students, staff, faculty, rental clients, and outside guests.
- Answer telephone calls on behalf of AMDA Reception. Determine if the caller can be helped by the Reception staff, or if the caller needs to be routed to another staff member or department. Manage/coordinate incoming calls as appropriate; accurately take and deliver messages; and maintain log of all calls requiring further action.
- Answer telephone calls on behalf of AMDA Studio Rentals. Take studio rental bookings, answer basic policy questions, discuss client invoices, and direct clients to Rental Management when necessary.
- Assist walk-in clients with renting available studio space. Thoroughly check the studio schedule for open space, create client reservations in the AMDA Rental Portal, and invoice clients appropriately via the rental billing system.
- Check clients in for their reservations. Ensure that the client has paid for their booking, take payment at the desk when necessary, take a form of identification to be held in the designated box during their reservation, and provide clients with an access key-card for the appropriate floor. Provide any necessary directions to the reserved studio.
- Troubleshoot minor rental concerns. Alert Rental Management of any escalated concerns or of anything requiring further action.
- Perform a variety of clerical duties, including but not limited to photocopying, inventory management, filing, and basic maintenance of technology equipment such as printers/copiers.
- When closing the building, ensure that all studio and appropriate hallway lights have been turned off, studio doors are locked and closed, windows are shut, and window AC units have been turned off at the time of closing. Close the Reception desk window and lock the door to the office when leaving the premises.
- Maintain a neat and professional appearance along with a clean and organized reception area.
Qualifications:
- Bachelor’s Degree preferred.
- 1-2 years serving in an office environment.
- Extremely proficient in basic computer skills and navigation.
- Strong oral and written communication skills.
- Exceptional interpersonal skills.
- Ability to take initiative and solve problems.
- Exceptional attention to detail.
Position Information:
- The regular schedule for this role is Wednesday – Sunday 4:00pm – 8:00pm ET. Subject to change based on department needs. May be required to work an alternate schedule on occasion based on department needs.
- The pay range for this position is $20.00/hour - $21.00/hour
- This position is subject to a background check upon a conditional offer of employment and a reference check.
- This is a fully in-person Position.
