We are seeking a highly organized and proactive Office Administrator to manage day-to-day office operations and provide essential administrative support to our team in multiple locations. The ideal candidate will possess excellent communication skills, be technology savvy, attention to detail, and the ability to multitask in a fast-paced environment. This role is crucial for maintaining a productive and efficient office environment.
Key Responsibilities:
  • Provide office support, management and coordination, assisting various departments as needed.
  • Server as one of administrators for the travel platform, SAP Concur, for new account assignments and travel, ensuring accuracy and compliance with company policies.
  • Maintain a corporate purchasing card, track charges and reconcile on a monthly basis.
  • Manage office supplies and inventory, including ordering supplies and snacks to ensure the office is well-stocked.
  • Answer and direct phone calls, emails, and inquiries to appropriate staff members.
  • Schedule and coordinate meetings, conference rooms, appointments, and travel arrangements for staff and visitors.
  • Assist in the preparation of transaction documents, such as invoices and expense reports, with moderate involvement in accounts payable (A/P) processes.
  • Coordinate office maintenance, repairs, and vendor relationships.
  • Arrange for visitor accommodations and support, ensuring a welcoming environment for guests.
  • Coordinating site events and activities; sitting on corporate Events Committee.
Qualifications:
  • High school diploma or equivalent; associate or bachelor's degree in business administration or a related field is highly desired.
  • Proven experience as an office administrator, office assistant, or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment (e.g., printers, copiers).
  • Experience with travel software, such as SAP Concur is preferred.  Previous experience with SAP Concur is not mandatory, but demonstrated experience learning and administering similar systems is required.  
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively within a team.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Must be able to lift up to 20 lbs
