Job Purpose:
The Document Operations Manager will assess and evaluate current document management procedures, and work with the internal and external teams to workflows to ensure maximum productivity and efficiency.
Duties and Responsibilities:
- Oversee and manage the full cycle document scanning process, working with Mail Clerks from initial receipt of mail and scanning of documents, working with the Scan Dept and New File Dept. to validate document accuracy and streamlining procedures in a paperless environment
- Work with artificial intelligence programs to maximize the extraction of information, reducing errors and increasing efficiency and speed
- Analyze the teams’ workload, activities, and procedures, and make changes to maintain a productive and balanced workflow
- Oversee, manage, and monitor the daily teams’ personnel, coordinating with supervisors and leads to ensure work is completed and consistency is maintained across the board
- Effectively communicate with internal and external parties, and provide management with reporting on metrics, challenges, and recommended solutions
- Serve as a liaison with technical and non-technical teams, and interface with domestic and overseas partners to ensure all project targets and requirements are met
- Train, motivate, coach, and evaluate the teams in all areas of job duties, and establish methods and standards for evaluation
Skills/Qualifications:
- 3+ years of experience managing a team
- Extensive knowledge of project management standards, processes, procedures, and guidelines
- Excellent analysis, problem-solving, team, conflict management, and time management skills
- Demonstrated ability to conceptualize, document, and execute procedures and training guidelines
- Excellent verbal and written communication skills
- Exceptional work ethic
- Ability to interact effectively and clearly with employees at all levels
- Strong computer skills including Microsoft Office Suite and Adobe
The ideal candidate will be highly organized, detail-oriented and work well under pressure, with the ability to juggle multiple projects simultaneously. Must possess excellent communication skills, be a team player, and have pride in work product. This is a fast-paced position that requires a sense of urgency while maintaining accuracy.
