Position Summary:  

This role will be representing Ainsworth’s and our core values in every task and interaction they make with everyone they meet either in person or over the telephone. The ideal candidate will be enthusiastic, positive, even tempered, team player and have strong skills in areas of dependability, interpersonal relationships, and communications.  

Responsibilities  

  • Apply exceptional interpersonal skills by professionally and warmly greeting each visitor as they come through Ainsworth’s doors
  • Apply superior telephone and email etiquette while receiving and directing incoming calls, messages, and emails, performing this with a high degree of accuracy and efficiency
  • Liaise with answering service to ensure all messages are received and forwarded in a timely and accurate manner
  • Correctly getting printers ready for printing of Checks for vendor and sending them out timely, correctly & efficiently 
  • Work on TAC system to process invoices when system available
  • Proficiently process daily, weekly and monthly administrative procedures related to general office duties, including processing of interoffice and external mail, as per company policy and guidelines.
  • Perform all job functions in a safe and healthful manner, abiding by and in accordance with all applicable Health, Safety and Environmental company policies and government legislation/regulations
  • Adhere to the Company’s Quality System operating procedures
  • Adhere to attendance policy and ensure consistent coverage is achieved at the front reception desk
  • Per Complete batch review process daily – paying attention to details and 100% accuracy needed upon completion
  • form other Adhoc duties Couriering documents as needed

  • Retrieving reports from JDE for various tasks
  • Receiving expense reports by mail and filtering these reports to send to various employees
  • Filtering emails and forwarding invoices and expense reports
  • Matching expense reports to cheques and filing accordingly
  • Sorting, copying, filing and mailing cheques weekly
  • Couriering documents as needed
  • form other adhoc duties as assigned by Management listed below:

 Qualifications  

  • 3 years’ experience working in a Client Service or administrative position
  • High School graduate, Post-Secondary education preferred.
  • Basic knowledge of accounting systems would be an asset.
  • Experience working with JD Edwards software would be an asset.
  • Proficient computer efficiency (MS Office, Outlook, Internet, Adobe Acrobat)
  • Solid and effective verbal and written communication skills
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organize, multitask, prioritize and work under pressure
  • Proficient with switchboard systems, and has a proven capacity to learn new programs and processes with extreme efficiency
  • Strong work ethic and positive team attitude.
  • Professional, friendly, exceptional interpersonal skills
  • Able to effectively communicate both verbally and in writing.
  • Sound analytical thinking, planning and prioritization skills.
  • Effective attention to detail and a high degree of accuracy.
